Subject: REQUEST FOR RECORDS DESTRUCTION
On April 24,2001, the City Council adopted a Records Retention Policy and Schedule. ln
accordance with that policy and schedule, certain records have been identified as eligible
for destruction. A listing of those records and relevant sections from the records retention
schedule are attached.
The method of destruction will be by shredding and recycling. No records will be destroyed
prior to the approved retention period. We will begin destroying the records upon receiving
your written authorization below.
Requesting approval to destroy NCIC Validations prior to 11112Q19:
National Crime lnformation Center validations are received from/reported back to DOJ
monthly. Anything on the list is checked against our Master Case Record (MCR) to make
sure all possible information has been included and that check is documented in the MCR.
The NCIC validations are only the lists of what we checked.

34o9o. Unless otherwise provided by law, with the approval of the legislative body by resolution and the written consent
of the city attomey, the head of a city department may destroy any city record, document, instrument, book, or paper, under
the department head's charge, without making a copy thereof after the same is no longer required.
This section does not authorize the destruction of:
(a) Records affecting the title to real properly or liens thereon.
(b) Court records.
(c) Records required to be kept by statute.
(d) Records less than two years old.
(e) The minutes, ordinances, or resolutions of the legislative body or of a city board or commission.
This section shall not be construed as limiting or qualifuing in any manner the authority provided in Section 34090.5 for the
destruction ofrecords, documents, instruments, books, and papers in accordance with the procedure therein prescribed.
