Helium Document Review and Discussion The committee discussed the feedback on the features documents provided by Helium. Overall both the committee members and the agency were satisfied with the overall with the documents however, following items were identified as needing more information before the milestone could be approved: 1. Mobile Optimization: the committee would like to see a better user experience on the mobile optimization. The layout was an issue. Can that be addressed before the signoff of this milestone or will this be addressed in the next milestone (#4)? 2. The committee would like to see the documentation spelled out further for the properties using the manual input/maintenance of the data within Helium. Specifically addressing how a property that is not set up with the API feed to ingrate inventory will recover the credit card information for the booking? And complete the user guide for the full detailed process for manual entry properties. 3. Timeline with action steps and assignments for the next phases until the completion of the integration. The committee would like to follow up on the request from the agency for a timeline calling out all action items w/ specific dates associated with launching booking engine by 6/8/15. If you can pinpoint all of the action items and deadline dates from this point forward, we will all be in a better position to meet the launch goal. It will be helpful to have responsible parties (e.g. Zeppelin, SLO TBID team) called out on each item, so we can efficiently move forward. We would like to have this timeline provided to the committee by 3/30 in order to sign off on this milestone. Timeline should include but not be limited to: the property information deadline; required reports deadline; code files to embed on SLO vacas deadline. 4. Collection of property info for upload. The committee would like to request that Zeppelin use the initial information from the spreadsheet attached to begin the property build out. They would like Zeppelin to create the user name and password for each of the TBID properties when this information is uploaded so that the properties can access the system directly to edit the information already supplied as well as add the additional information. This will be the most efficient means to collect the information without duplicating the data entry. The committee would like this process to be complete by Monday 4/6 in order to present it to the TBID Board during their April meeting. 5. The agency will need to be provided with a base CSS. 6. Reports: one report we would like to see added is a length of stay report on the bookings made through the system 7. In order to approve the completion of the next milestone, the committee requires the ability to fully test Helium to perform the full booking process from start to finish. Using the test property through the Auto Clerk system is acceptable. 8. Since Zeppelin is unable to integrate Helium with all SLOTBID properties as, originally understood by the Board, without the added cost to each property to ingrate the API feed, The committee would like Zeppelin to perform an analysis on the fees charged and the ability to connect to Helium by the various PMS services within the SLO TBID portfolio. This information will help the Board determine the next steps for the individual property integration. The committee requires that each of the items within this list is addressed by Zeppelin prior to the committee signing off on the milestone and approving the release of the funds. The next committee meeting is scheduled for Tuesday 3/31/15 at 10:30am.
