PARKS AND RECREATION ADMINISTRATION OFFICE 1341 NIPOMO STREET ________________________________________________________________________ CALL TO ORDER: Chair Rappa called the meeting to order at 7:04 p.m. ROLL CALL: Chair Penny Rappa, Committee Members Ron Batterson, Wes Conner, Bonnie Marzio, Marion Rodman, and Martha Schwartz ABSENT: Committee Member Katchy Andrews STAFF: Elaina Cano, Rich Ogden, Larry Tolson, and Kim Walker PUBLIC COMMENT: There was no public comment. CONSENT ITEMS: M/S Committee Members Conner/Rodman to accept the minutes as submitted. The motion was approved unanimously. ITEM #1: ELECTION OF OFFICERS Chair Rappa expressed her concerns about serving as Chair of the Jack House Committee for one more year. M/S Committee Members Conner/Rodman to re-elect Penny Rappa as Chair. The motion was approved unanimously. Rappa accepted the position under the condition that a new Chair will be elected January 2001. M/S Committee Members Schwartz/Rodman to elect Ron Batterson as Vice-Chair. The motion was approved unanimously. Batterson accepted the position. ITEM #2: STAFF LIAISON – JOB DESCRIPTION There were no questions and/or clarifications made about the staff liaison job description. ITEM #3: CHRISTMAS OPEN HOUSE Committee Member Schwartz gave an overview of the Christmas Open House. There were a total of 287 docent volunteer hours and 31 non-docent volunteer hours. There were 649 paying guest and an additional 44 guest throughout December. The Gift Shop sold $552.60 of merchandise. Schwartz expressed difficulty in keeping the house opened due to scheduling conflicts. She suggested having the winter hours changed from 1:00 - 4:00 p.m. Chair Rappa suggested having more committee participation during the Christmas Open House. The committee discussed the traditional role of the committee during special events. ITEM #4: SCHEDULING TOURS Item continued to next month. ITEM #5: CLEANING OF THE JACK HOUSE The committee suggested having the house cleaned after all major events and having the current housekeeper under contract. M/S Committee Members Marzio/Conner agreed to continue cleaning discussion at the February meeting. The motion was approved unanimously. ITEM #6: PUBLICITY Kim Walker, Public Information Officer, gave an overview and submitted information regarding the current efforts for the publicity of the Jack House. Walker requested $1800 to continue paid advertising efforts. M/S Committee Members Conner/Rodman to allocate $1800 for paid advertising for the 2000 calendar year. The motion was approved unanimously. Walker also requested possibly expanding the Spring/Summer concerts. ITEM #7: SUPERVISOR’S REPORT Rich Ogden, Recreation Supervisor, submitted and discussed an overview of his supervisor’s report. ITEM #8: REPORTS AND UPDATES Larry Tolson, Parks Maintenance Supervisor, reported that the assessment report was back and suggested Committee Member Batterson report back with his suggestions. Tolson also discussed a fire protection plan, and Dave Smith is still researching materials for the roof. Tolson informed the committee that changes are gradually being done from the items on the Garden Survey. Elaina Cano reported that there is a problem getting a laptop compatible with the inventory program. Martha Schwartz, Docent Chair, submitted and discussed all the docent activities. Schwartz will be holding a training session for new and continuing docents on Saturday, January 29, 2000. M/S Committee Members Conner/Rappa to provide lunch for the training. The motion was approved unanimously. Committee Member Conner updated the committee on the fencing and suggested moving the new backlight on to the back porch. ITEM #9: COMMUNICATIONS Chair Rappa asked the committee if they would volunteer to serve on a sub-committee for the historical properties. There were no volunteers. Rappa also recommended having an intercom from the Gift Shop to the House. The meeting was adjourned at 9:15 p.m. 01-12-00MIN
