JACK HOUSE, 536 MARSH STREET CALL TO ORDER: Chair Penny Rappa called the meeting to order at 5:30p.m. ROLL CALL: Chair Penny Rappa, Committee Members Ron Batterson, Wes Conner, Bonnie Marzio, and Martha Schwartz. ABSENT: Committee Member Marion Rodman STAFF: Elaina Cano, Rich Ogden, and Larry Tolson IN ATTENDANCE: Katchy Andrews, family heir. Greg Dillman, Old Mission Docent. Richard Dresp, docent Vice-chair. PUBLIC COMMENT: There was no public comment. CONSENT ITEMS: M/S Committee members Batterson/Conner to accept consent items as submitted. The motion was approved unanimously. By consensus, the committee agreed to add ITEM #6: MEETING TIME and change ITEM #4 to ITEM #1. ITEM #1: GARDEN SHADE STRUCTURE Larry Tolson, Parks Maintenance Supervisor, proposed to have a shade structure for the Gardens, at the request of the family heir, Katchy Andrews. Tolson gave an approximate cost of $4500 - $5000 for the structure. Tolson also explained that the $2000 donation given by the family would help pay for the cost. Tolson requested direction from the committee. The committee discussed having three permanent locations for the structure and the possibility of making it available for other parties to rent for special occasions. The committee requested that the Parks and Recreation reimburse 50% of the additional funds. M/S Committee members Conner/Marzio to authorize staff to purchase the shade structure under the specifications requested and use the funds from the Jack House along with the $2000 donation and for the Parks and Recreation department to reimburse 50% of the additional cost. The motion was approved unanimously. ITEM #2: CARPET FOR THE HOUSE Chair Rappa brought two samples of carpet patterns to discuss with the committee. The committee discussed having different carpet in different rooms and also the process of moving the furniture independently. M/S Committee members Rappa/Conner to have the Rustic Charm pattern throughout the house. The motion failed 2-3. M/S Committee members Schwartz/Batterson to have the Richmond Rose pattern throughout the house. The motion failed 2-3. M/S Committee members Marzio/Conner to have the Richmond Rose pattern downstairs and the Richmond Rose pattern on the stairs and upstairs. The motion passed 4-1. ITEM #3: MOTHER’S DAY Rich Ogden, Recreation Supervisor, updated the Committee on the Mother’s Day event. Richard Dresp, Docent Vice-Chair, made a recommendation to the committee to have an ice-cream social in conjunction with the August concert. Chair Rappa suggested to discuss this further at the June meeting and to have Mr. Dresp coordinate a subcommittee of docents interested and report back next month with more information. ITEM #4: 25TH ANNIVERSARY Ogden gave an update on the status of the 25th Anniversary celebration. Tolson, Conner and Kathy Mills, Parks and Recreation Manager II, will help Martha Schwartz with the guest list. Committee member Batterson expressed his ideas for his Historical/Pictorial project. The committee discussed having the invitations prepared by the June meeting. ITEM #5: COMPUTER/INVENTORY Elaina Cano gave an update on the inventory project. ITEM #6: MEETING TIME Committee member Schwartz discussed her memo and suggested to change the meeting time. By consensus the committee agreed to hold all future meetings at 7:00p.m. The meetings will continue to be held at the Jack House from April – October and at the Recreation office November – March. ITEM #7: REPORTS AND UPDATES Monthly Activities - Tolson reported that the foundation work will be budgeted for annual Capitol Improvement Project. The committee informed Tolson that the gap between the fireplace upstairs and the floor has increased and the Wash House has water marks on the floor. Docent Activities – Schwartz reported that there was no one to open the house Thursday or Sunday. Schwartz also reported that she has researched the Jack family genealogy back six generations. Member Comments – The committee directed Rich Ogden to make a list of acceptable responsibilities from staff for opening and alternative procedures for the house. Committee member Batterson requested clarification of rules and responsibilities regarding the reservations of the Gardens. Chair Rappa requested clarification about driving and parking on site. The meeting was adjourned at 7:00p.m. 05-10-00min.
