MINUTES
WEDNESDAY, AUGUST 9, 2000, 7:00 P.M.
JACK HOUSE, 536 MARSH STREET
CALL TO ORDER: Chair Penny Rappa called the meeting to order
at 7:02 p.m.
ROLL CALL: Chair Penny Rappa, Committee Members Wes
Conner, Bonnie Marzio, Marion Rodman, Greg
Dillman, and Martha Schwartz
ABSENT: Committee Member Ron Batterson
STAFF: Larry Tolson, Kim Walker, and Nichole Rose
IN ATTENDANCE: Mary Gamlin, Friends of the Library
PUBLIC COMMENT:
There was no public comment.
CONSENT ITEMS:
M/S Committee Members Batterson/Schwartz to approve the minutes as submitted. The
motion was approved unanimously.
ITEM #1: SPECIAL TOUR REQUESTS
M/S Committee Members Dillman/Conner approved house being open for tours on
October 1 for the Friends of the Library event and on September 10 for the Heritage
Walk event. The house will also be open to the public on these days. The motion was
approved unanimously.
M/S Committee Members Conner/Dillman move to open house pending avai lability of
docents/personnel, and a notice sent out to Committee Members requesting sign-ups to
volunteer on day of the event. The motion was approved unanimously.
Due to the event being City sponsored, until further notice from City Council, neither
group will be charged a fee for tours. Donations will be accepted.
Committee Member Dillman will research special day tour requests and present
information for discussion at September meeting.
ITEM #2: 25TH ANNIVERSARY CELEBRATION
Proclamation to Committee to hang in the Gift Shop.
Historical Boards may become a roving display.
ITEM #3: CARPET/ SHADE STRUCTURE
Larry Tolson reported that carpet came in under budget, and there are remnants.
Staff was directed to pursue using left over carpet to create a runner for the
entryway.
Committee authorized Tolson to use existing CIP funds to pursue maintenance of
hall and stair wood floors.
Committee wants to use shade structure during Wedding Season (May-October).
This year, it will be left up during the season until renter does not want it.
Alternative locations for the shade structure were discussed.
ITEM #4: PROPOSAL FROM BANK PROPERTY
M/S Committee Members Schwartz/Rodman moved to authorize Committee Member
Wes Conner to work with landscape architect to provide plant material in the area to
compliment Jack House. Motion carries.
ITEM #5: ADVISORY BODIES MEMO
Answers to questions presented to Committee by Council:
1. Group photo okay.
2. Members reject idea of placing bio on the web.
3. Annual training not necessary, handbook is sufficient.
4. The response was ambivalent toward press releases. Would like more
information to Advisory Body Member.
5. Calling cards not believed to be useful.
6. Swearing in new members well received.
7. Master calendar well received.
8. Educating community regarding advisory bodies not necessary.
9. Adding recommendation of the advisory body to all appropriate Council
Agenda Reports was well received.
10. New Suggestions: form for staff reports.
ITEM #6: REVISED BY-LAWS
M/S Committee Members Schwartz/ Conner moved to forward revised bylaws to City
Council.
ITEM #7: REPORTS AND UPDATES
Monthly Activities - Docent appreciation dinner approved to take place on 2nd
Wednesday of October. Staff will report on this event at September 10 meeting.
Reminder for Rover responsibility to double check restrooms.
Committee Member Marzio recommended agenda item for September meeting –
Docent problems/challenges/recruitment.
Jack House Pamphlet – changes include $1.00 on front cover, insert will be made
replacing back cover.
