HomeMy WebLinkAbout01-18-03 JHC MinutesJack House Committee ATTACHMENT __= MINUTES Parks and Recreation Administrative Office Wednesday, January 8, 2003 5:30 PM CALL TO ORDER: Vice Chair Wes Conner called the meeting to order at 7:00 p.m. ROLL CALL: Chair, Ron Batterson, Vice Chair Wes Conner, Committee Members Bill Pyper, Gerry Johnson, Marion Rodman, Martha Schwartz, and John Tischler ABSENT: All present STAFF: Richard Odgen, Larry Tolson, and Kim Walker Council Member Christine Mulholland was also in attendance. PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of November 13, 2002 meeting were approved with the following changes: ❖ The Magellan Fuchsias that are missing at back corner of the House are by the Cedar tree not the Maple tree. The Financial Reports of November and December 2002 were accepted as presented. ITEM #1: Fire Sprinklers at the House Tolson introduced Ray Vidler who is designing a fire sprinkler system for the House. Tolson reported that the House, Service Building, and Gift Shop would have sprinklers installed. The Carriage Barn will not. ITEM #2: Art In The Garden The Arts Council Director contacted Walker regarding co- sponsoring Art In The Garden this year, However, they would expect a share of the profits. Walker explained to the Arts Director that the premise of this event has not been as a fund raising opportunity but as a way to expose the Jack House to a new group of people. After discussion, the motion, that the Committee maintain their position of giving 20% to Art after Dark, 10% to the Committee and deny giving a percentage to the Arts Council was moved and seconded. It passed unanimously. ITEM #3: Reports and Updates ❖ MonthlU Activities Tolson reported on the following - Turf renovation project is in process. - Triad Engineering submitted a detailed drainage plan. City maintenance staff will be completing all necessary work. Walker reported on the following - The "Key," Parks and Recreation annual guide was distributed to Committee Members. f. VackliouscVackllouse12GG31 Mrnules 101.081003. doc Jack House Committee ATTACHMENT--I- I Minutes for January 8, 2003 Page 2 of 2 - Regular press releases are being prepared and submitted when appropriate. - Brochure labels with the new hours are in the office; Ogden will give them to Schwartz. ❖ Docent Activities Schwartz distributed an accounting of the December Christmas Tours and reported on the following. - The Docents would like to form a sub - committee that would be responsible for Mothers Day and Christmas publicity. They would also prefer that any future publicity should state that the last tour is at 3:30 as opposed to the house closes at 4:00. After discussion, the Committee endorsed the idea with the understanding that at least one staff member be included, and that all press releases are approved by the sub - committee before being distributed. - Schwartz asked if the Committee wanted to reprint 25th anniversary brochures which are handed out when people tour the house, and if so, the following changes be incorporated: change hours to include open every Sunday, include descendants of Jack House and eliminate back page. The Committee agreed with Pyper taking charge of the updates and printing. - A local campfire boys troop have contacted Schwartz to see if they could perform a year long civic project at the House. Schwartz suggested they put stickers on literature, sweep the steps, and put up and take down the flag among other things. The Committee endorsed the suggestion. - Batterson asked about status on the following projects: • Fence - Tischler anticipates having plans to Tolson in February. • Roof - Tolson reported that it would be complete sometime in the Spring after rainy season. - Conner reported that it may be necessary to remove part of the Pittosporum Tovira tree for safety and that additional planting will be done between roadway and back fence. - Conner also inquired about the storage location of the floodgates and who would be responsible for putting them up. Tolson reported that they are in either in the maintenance shack or elevator shaft and that maintenance staff will put them up. The Committee felt that a sign should be installed directing staff to their location including installation instructions. Rodman inquired about the status of the walkway lighting. Batterson mentioned that they would also like to light the flagpole and add an outside outlet for Christmas lights. Tolson will look into this and report back to Committee.
