HomeMy WebLinkAbout06-11-03 JHC MinutesG:\Everyone\Jack House\JH Committee\Minutes\2003\06.11.2003.doc Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, June 11, 2003 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:33 p.m. ROLL CALL: Chair, Ron Batterson, Vice Chair Wes Conner, Committee Members Bill Pyper, Gerry Johnson, Marion Rodman, and Martha Schwartz. ABSENT: John Tischler CITY COUNCIL: Vice Mayor, Christine Mulholland STAFF: Rich Ogden, Larry Tolson, and Jill Lemieux. PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of May 14, 2003 meeting were approved with one correction in ITEM #3, Docent Activities, the volunteer working on the inventory list was on leave, not maternity leave. The Financial Report of May 2003 was presented and accepted. Loren Nicholson was paid $46.62 for books. ITEM #1: Bridal Room Chairs Schwartz asked for clarification on the type of chairs she will buy for the Bridal Room. It was agreed that she would look at second hand stores for 1940’s style chairs to match the vanity. No budget was set. Schwartz requested that a piece of glass be placed over the top of the vanity because it is warped. Tolson said his department would take care of it. ITEM #2: Art in the Garden Lemieux reported that 30 artist applications have been received. A meeting with the Art in the Garden Committee, Roseanne Seitz, Jill Lemieux and Rich Ogden has been tentatively set for June 26, 2003 at 3.00 p.m. at the of Parks and Recreation Office to review applications and select artists. Lemieux reported that the Jack House message phone recording has been changed to an information message about Art in the Garden. ITEM #3: Jack House Plants Tolson reported that Jack House Committee members planted the new plants for the garden on May 26. A $500 budget was approved during the May meeting, but the actual cost of the plants came to $899.37. The motion was approved unanimously. Reports and Updates  Monthly Activities Tolson reported on the following: - He presented the ideas from the committee about the Jack House sprinkler system to the designer and the updated plans will be available at the end of June 2003. A bid for the project should go out by August 2003. - A fence for around the base of the Maple tree will cost between $4,870 - $9,476 by a traditional fence company. The Jack House Committee might want to consider a craftsman for the job at a lower rate or create a less ornate design. - The bid on the roof went out with the JOC project. It may be delayed. Tolson will know more information in August 2003. Ogden Reported on the following: - Ogden called a piano repairperson and will have him visit the Jack House again in a couple of weeks for another look at the piano. - Fees to rent the Jack House may increase by $110 in 2004. The rental cost now for the Jack House Gardens is $364 and the cost for a wedding is $487. The increase in fees would cover the cost of an attendant onsite during events. Lemieux reported on the following: - Preparation for the July 16 Chamber of Commerce Mixer has begun. A request was made for a budget of $1,200-$1,700 to cover the cost of food, beverages and supplies. A motion was made to approve the budget for up to $1,700 for the July 16, Chamber Mixer. It was approved unanimously. Docent Activities Schwartz reported on the following: - The Docents received a thank you from the Boy Scouts that raised the flag for Mothers Day in the Garden. - A letter to the editor in the Tribune was written about the Jack House & Gardens. - Pictures of Mothers Day Concert in the Garden are available for viewing. - Inventory is currently being taken. - Two new Docents are waiting to be trained. - Consideration from the JH Committee for a Fathers Day celebration at the Jack House in the future. - Two dresses were offered to the Jack House, but they were not able to accept them into the collection because they were not from the Jack family.  Member Comments - Conner stated that the Jack House Committee received two keys from Coast National Bank that would allow them to unlock the gate that leads to the neighboring parking lot. One key will go to Martha Schwartz and Ron Batterson will keep the other. If they are going to keep the flag up at all times, a spot light will be needed. - Conner stated that dried flowers are gradually replacing the plastic flowers on display in the Jack House. - Rodman stated that the Historical Society would like to meet at the Jack House in May 2004. - Rodman stated Ron Clark would be open to loaning tools to the Jack House for display, but that the tools needed to be encased in plexiglass so they are not damaged or stolen. Batterson asked if they could be securely attached to the wall instead of in plexiglass.  Communications - Tolson stated that the Botanical Garden Society would like to use the Jack House Gardens as the starting point for next years Fundraising Garden Tour. It will take place the first week of June 2004. - Ogden stated that the Jack House Committee will not have a meeting in July. Meeting adjourned at 7:00 pm to the August 13, 2003 meeting at Parks and Recreation Administration Office at 5:30 pm.
