MINUTES
Parks and Recreation Administrative Office
Wednesday, September 10, 2003 5:30 PM
CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:30 p.m.
ROLL CALL: Chair Ron Batterson, Vice Chair Wes Conner, Committee Members Gerry
Johnson, Bill Pyper, Marion Rodman, Martha Schwartz, and John Tischler.
STAFF: Kim Walker, Rich Ogden, Larry Tolson, and Diane Lawson.
PUBLIC COMMENT PERIOD:
There was no public comment.
CONSIDERATION OF MINUTES AND FINANCIAL REPORT:
The minutes of August 13, 2003 meeting were approved.
Conner motioned a change on page 2 of 2 paragraph three, changing budget to cost.
Tolson motioned a change on page 2 of 2 paragraph one, changing Committee to community.
The Financial Report for August, 2003 was presented and accepted.
Walker will check on what the petty cash entry is and report back to the Committee.
ITEM #1: Art in the Garden – a two-day event
Artists expressed a desire to make the event a two-day event. Batterson suggested a survey be sent out to the
artists with their invitation for next year. Walker asked for feedback in moving the event to Saturday. Conner
made a motion to run it same way for one more year. Pyper seconded motion. The motion was approved
unanimously. Walker gave a review of the finances for the Art in the Garden event. Motion was made to set
the date for next year’s event for August 22, 2004 by Pyper and seconded by Rodman. The motion was
approved with one member abstaining. Discussed where tickets will be sold for House tours during the event
next year. One possibility would be on the porch. (Conner/Pyper, unanimous)
ITEM #2: Wash House Gift Shop Cash Register and Inventory
Johnson recommended not purchasing the cash register for the gift shop. Bat terson asked how inventory
would be tracked. Johnson said by counting the inventory.
ITEM #3: San Luis Obispo Botanical Garden
Discussion about SLO Botanical Garden using the Jack House Gardens as a kick off for their event
and waiving the use fees. Batterson motioned that the discussion be tabled until next month. The
motion was approved unanimously.
ITEM #4: Docent Appreciation Dinner
The dinner has been scheduled for November 12, 2003, with the meeting starting at 4:00 p.m. and the dinner at
6:00 p.m. at the Ludwick Community Center. It was recommended that the Committee start thinking about
what kind of program they want for the dinner. It was suggested that Paul LeSage be asked to give a tour of the
center as part of the program. Walker will work up a dinner budget and present it at the next meeting.

Tolson reported on the following:
Fence was repaired at the Jack House.
Well and tank were serviced.
There is money in the budget to repair the roof of the Wash House.
New paper towel dispensers were installed in the washrooms and catering
facility.
Need to verify poinsettias for this year.
Sprinkler system needs to go out for bid.
Walker reported on the following:
October 13 is dead line for the Departments Key brochure.
Need new photo of the Committee for the Key.
The Ludwick Community Center grand opening is October 13. It is a
weeklong event and everyone on the Committee will be invited.
Docent Activities
Schwartz reported on the following:
Trained a new Docent for the Jack House.
Docent meeting is September 11.
Have been adding tidbits about the Jack family and House to the book for the
Docents to use.
Love seat and chairs added to the Bridle Room are very nice.
Items that may be needed by the Bridle Party at the last minute were added to
the Bridle Room.
Carpet still needs to be cleaned and a hook put on the door.
Electric candles will be used this year for Christmas.
Moving the House tours to Sunday has been a plus.
Docents have started collecting toys for Christmas.
Member Comments
Johnson stated still would like to have the Museum to put tools in the buggy
shed. Batterson to look into.
Tischler recommended a volunteer weekend to build a fence around the
Japanese maple tree.
Pyper suggested getting bids to build the fence be added to next month’s
agenda.
Conner asked if he could call about landscape items needing attention.
Tolson said, yes or he could communicate the items to him and he would pass
them on.
Batterson noticed the flag has light on it now.
Communications
There were no communications.
Meeting adjourned at 7:01 pm to the October 15, 2003 meeting at Parks and Recreation
Administration Office at 5:30 pm.
