HomeMy WebLinkAbout10-15-03 JHC MinutesJack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, October 15, 2003 5:30 pm CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:35 p.m. ROLL CALL: Chair Ron Batterson, Vice Chair Wes Conner, Committee Members Bill Pyper, Gerry Johnson, Marion Rodman, Martha Schwartz, and John Tischler. ABSENT: Chair Ron Batterson CITY COUNCIL MEMBER: Vice Mayor, Christine Mulholland STAFF: Richard Odgen, Larry Tolson and Jill Limeaux. GUESTS: Christie Mercier & Rebecca Turner, Arroyo Grande High School Seniors PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of the September 10, 2003 meeting were approved with the following amendments:  Item 1 – Johnson stated that tickets should be sold on the porch  Financial Report did not reflect September’s cash sales, the receipts were submitted that day.  The financial report of September 2003 was accepted as presented. Item # 1: San Luis Obispo Botanical Garden  Fee waiver was sent to Paul LeSage. Jack House Committee will co-sponsor the event so there should be no fees charged for the use of the gardens.  Schwartz stated there may not be an event next year because the SLO Botanical Garden does not have someone to organize the event yet. Items #2: Fencing around Maple Tree  Tischler gave a report about different possibilities concerning a new fence for the maple tree.  An estimate of $4,800 was given by Pete Watson, a licensed contractor, to build a fence in about 1 – 1 ½ week time. Tischler handed out drawings of the proposed plan to be used by Pete Watson.  Tischler stated that arched rails made of metal could be used in place of wood to cut costs and for a longer lasting fence.  Tolson stated that any job under $5000 could go to any contractor. They did not have to get multiple bids if the cost of the job stayed under $5000.  Funds used for project would come from the Jack House fund. A motion was made by Tischler to negotiate with Pete Watson on proposed project and to contact Larry Tolson for contract implementation. Motion was passed with two discussion points. The motion passed unanimously.  Bruce Courter should be informed of the project proposal so that he may bid on the job too.  What a design is selected for the Maple tree it should be replicated in the design for the front fence when that is worked on at a later date. Reports and Updates Jack House Committee Minutes for October 15, 2003 Page 2 of 2 G:\Everyone\Jack House\JH Committee\Minutes\2003\10.15.2003.doc  Monthly Activities - Ogden -Ogden reported the price for the 48 passenger bus rental to the Banning House is $1,200. -Ogden reported that the money for the post cards and promoting Art in the Garden came out of last years promotional budget.  Monthly Activities - Tolson Tolson reported the wood floor buckle in the entry way was caused by a liquid spill. He will get one slat of wood to replace the damaged piece. Tolson reported a new sliding lock was placed on the door between the bridal room and the kitchen. Tolson reported the avocado tree was trimmed. Tolson reported that the Jack family tree now has all the correct dates listed. Tolson reported that the proposed 2 electrical outlets for use of the cash register and holiday lights will cost $2,000. It will have to be done by contract and money must come out of the Jack House budget. Tolson reported roof of the Jack House is a Job Order Contact (JOC) and could be completed by mid November 2003. Tolson reported the interior sprinkler system is still in review and is going forward. Tolson reported Cal Poly will donate Poinsettias for Jack House Holiday decorations.  Docent Activities Schwartz requested the Jack House committee sponsor a tour to the Banning House and anyone that is not a docent may pay their own way. Schwartz reported that she put basic “bridal” supplies in the vanity. Schwartz requested an information sheet about rules and codes be posted in the bridal room and a copy be sent out with the rental contract. Schwartz reported that a new handbook will be distributed to all docents. Schwartz reported that the Jack House will be open for evening tours every Sunday, December 1 through the 21st. Schwartz reported that the Christmas theme is “Toys”. Jim Stockton made large size rocking horses. Schwartz requested that the rocking horses be placed in the Buggy Shed. Schwartz reported the piano is playing nicely now. Schwartz reported Brandy Houston from Cal Poly taped part of a video segment on the Jack House for Cal Poly T.V. Odgen stated that any type of public information needs to be cleared through the Department of Parks and Recreation before going out to the public.  Member Comments Johnson stated there is no Jack House Committee meeting in December even though it is printed in the calendar. Batterson reported Mr. Clark, from the Historical Society is currently working with the Jack House Committee to go through the inventory warehouse and select display items. Meeting was adjourned at 7:05 to the November 12, 2003 meeting. The November 12, 2003 meeting will be at 4.00 pm at the Ludwick Center.
