MINUTES
Parks and Recreation Administrative Office
Wednesday, May 12, 2004 5:30 PM
CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:30 p.m.
ROLL CALL: Vice Chair Wes Conner, Committee Members Bill Pyper, Marion Rodman, Martha
Schwartz, and John Tischler.
ASENT: Gerry Johnson.
STAFF: Larry Tolson, Rich Ogden, Christine Wallace and Ashley Blake.
PUBLIC COMMENT PERIOD:
There was no public comment.
CONSIDERATION OF MINUTES AND FINANCIAL REPORT:
The minutes of April 14, 2004 meeting were approved with following correction.
Docent Activities: Schwartz requested a key be provided to volunteer, Richard Dresp.
The Financial Report for March 2004 was presented and accepted.
ITEM #1: Facilities Reservations – Policies & Procedures
Christine Wallace, Recreation Supervisor and Ashley Blake, Program Specialist, presented the
Facility Reservation policies and procedures for the Department. Committee Members discussed the
Jack House and Gardens Reservations.
An added feature, a new facilities Host is available for the duration of event to all parties renting
the facilities.
A review of the three publicity and information brochures will be reviewed at the August meeting
to determine a new format for future publication.
Reports and Updates
Monthly Activities
Ogden reported on the following:
Art in the Garden applications packets are ready for distribution and will be sent out
the week of May 17th.
Name tags were distributed to all Committee Members.
Tolson reported on the following:
Fence around Maple tree was completed.
Roof project has begun.
The gutters currently on the elevator roof will remain.
A motion was made to give Tolson the authority to spend up to $2,000 for potential
modifications and contingencies with the current roof project. The motion was passed
unanimously.

Docent Activities: As Reported by Richard Dresp
Dining room window is cracked.
Approximately 150 people attended the Mother’s Day celebration and 105
people went on a tour of the Jack House.
Member Comments
Pyper handed out copies of the Jack Family Tree.
Tischler reported the April Work Day went well, however, there is a need to recruit
more volunteers for next time.
Communications
Rodman reported a quilt show is being hosted at the Historical Museum.
Meeting adjourned at 6:43 pm to the June 9, 2004 meeting at Parks and Recreation Administration Office at
5:30 pm.
