HomeMy WebLinkAbout11-12-03 JHC Minutes11.12.2003 Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, November 12, 2003 4:00 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 4:05 p.m. ROLL CALL: Chair Ron Batterson, Vice Chair Wes Conner, Committee Members Gerry Johnson, Marion Rodman, Martha Schwartz, and John Tischler ABSENT: Bill Pyper CITY COUNCIL MEMBER: Vice-Mayor, Christine Mulholland STAFF: Kim Walker, Rich Ogden, and Larry Tolson PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of October 15, 2003 meeting were approved as amended.  Strike Absent, all were present.  Under Monthly Activities, last line, change; donate to sell.  Under Docent Activities, line seven, change evening to afternoon tours, 1:00 to 4:00pm.  Under Member Comments, correct the spelling of Clark to Clarke. The Financial Report for October 2003 was presented and accepted. ITEM #1: Installation of New Electrical Power Source in Front of Porch  Discussed the Committee funding of the electrical outlet installation.  Committee decided where to install the electrical outlets. Install one by the sign (in consideration of Art in the Garden) and the other on the front porch.  Larry Tolson will provide a proposal on cost and installation at the next Jack House meeting. ITEM #2: Banning House/Stowe House  Tentative date is Sunday, January 25th; Schwartz will take a vote of the docents. The Jack House maybe closed so that all Docents can attend.  Motion made by Batterson, to give Ogden approval of $1,200 to reserve the bus for the trip. Motion was second by Schwartz and approved by all.  Tentative itinerary is to leave at 7:00 am; arrive at Stowe House and stay until 11:00 -11:30 am. Go to the Banning House stay a couple of hours and arrive back around 7:00 pm.  Schwartz will invite the Mission and Historical Society to join the trip. A donation of $10.00 will be asked to help with the cost of the bus. ITEM #3: Fencing Around Maple Tree and in Front of House  Tolson met with Pete Johnson. Johnson will give a formal proposal on cost and scope of work, cost is to be $4,800. Fencing is to be done before the Open House.  Metal railings will be on the inside and the post will be notched. There will be wood hiding the metal and nails and screws will not be visible from the outside. The rails will be steel stock, primed and painted white. Reports and Updates  Monthly Activities Tolson reported on the following:  Met with the JOC (Job Order Contact) about the roof.  Top roof – nothing is being done except it will be re-guttered with 2” half-round. The rest of the roofs will be covered with speckled rock asphalt and covered with metal sheeting. The front porch roof will be rebuilt.  The lights, ladders and poinsettias will be delivered on December 4th for the Holiday set up. Will need 500 ft of straight, clear lights, plus magnolia greenery. Walker reported on the following:  Public Service announcement and advertisement were presented for corrections and changes.  As will run as follows:  Two ads in the New Times, November 20 and December 4.  Four ads in the Tribune, November 27 and 30, December 3 and 5.  One ad in the SLO Journal.  Fees for ads are $2,322 and come out of the Promotions Fund.  Need to have a picture of the Jack House at night after it is all decorated.  Need to schedule morning interview with KSBY.  Docent Activities Schwartz reported on the following:  Made and delivered 31 jars of jelly to the Gift Shop.  Richard will be out during the decorating; she is commissioning Charles and Stan to help in decorating the Living Room.  Docents are meeting at Schwartz house November 13; they will pick up the toys for the Jack House and deliver them.  Tolson is going to set up the table in the Buggy Shed for the train set.  May put the Rocking Horses in the front lawn for the children to try out, unless the grass is wet.  Need to get the video set back up for viewing.  Arranged for entertainment for the Docent dinner.  Member Comments  Conner will be in out of town when the lights are being set up – will need to find someone else to help.  Conner to see if bank would like to put lights in the Oak tree during the Holidays.  Communications There were no communications. Meeting adjourned at 5:30 pm to the January 14, 2003 meeting at Parks and Recreation Administration Office at 5:30 pm.
