ABSENT: Gerry Johnson, John Tischler, and Bill Pyper. STAFF: Larry Tolson, Rich Ogden, and Kim Walker. GUESTS: Betty Stockton, Jackie Kane, Richard Dresp, and Megan Reerslev. PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of June 9, 2004 meeting were approved as submitted. The Financial Report for July 2004 was not available. ITEM #1: Scheduling Events – Betty Stockton  Betty Stockton reported on the Jack House Docent concerns about the effectiveness and reliability of Jack House Hosts and Rovers available at Jack House Garden events. There was a request for better communication between Docents and Park & Recreation staff during scheduled garden events.  Betty Stockton expressed a need for consistent and accurate publicity on Jack House Garden annual events. Kim Walker will send out regular PSA’s for annual events and have Docents follow up with local media sources. ITEM #2: Magnolia Tree – Wes Conner  Wes Conner reported on the Magnolia tree in the back corner of the garden. It is very crowded and in failing health.  Ron Combs was called in to inspect the tree and to identify if anything could be done to help save the tree.  It was determined that the tree may have to be removed from the Jack House Garden.  The Jack House Committee directed staff to make a decision to remove the tree if the City Arborist agrees it should be removed. Reports and Updates  Monthly Activities Walker reported on the following:  3,000 post card invitations were mailed out for Art in the Garden.  Set up for Art in the Garden will start at 8.30 am.  Art in the Garden hours are Noon – 5 pm and the Jack House will be open during regular Sunday hours, unless Docents are willing to stay until 5 pm also. Jack House Committee Minutes for August 18, 2004 Page 2 of 2 G:\Everyone\Jack House\JH Committee\Minutes\2004\08.18.04.doc Tolson reported on the following:  Roof project has been completed.  Widow Walk Porch project has been completed.  The front roof gutter has an extra down spout on the left side of the porch.  The next project for the Jack House will be the fire sprinkler system.  Docent Activities: As Reported by Richard Dresp  Richard will take over as Docent Chair at Jack House Committee meetings.  Cosmetic stand is broken; Ogden will look into fixing it.  Docents would like a key to the Buggy Shed to organize and store Jack House items.  The Merry Maids are not doing a thorough enough job when they clean every other month. Ogden will talk to cleaning service personnel about doing a better job.  Entry way carpet is very dirty and needs to be cleaned.  A memorial for Martha Schwartz is planned for September 11, 2004 at the Jack House & Gardens.  Dresp reported that the Open sign on the fence can not been seen by cars in the street.  Member Comments  Conner reported that he attended the Mayors meeting on goal setting for future budgets and their maybe a study done on the Jack House foundation for future improvements.  Conner reported a significant of weeds were found in the rose garden.  Conner has called for a new recruitment for Committee Members and Docents.  Conner donated books from a Tennessee Victorian Village to the Jack House. There may be a possibility to order and sell the books in the Jack House Gift Shop.  Communications There were no communications at this time. Meeting adjourned at 7:15 pm to the September 8, 2004 meeting at Parks and Recreation Administration Office at 5:30 pm.
