HomeMy WebLinkAbout04-11-07 JHC MinutesG:\Everyone\Jack House\Minutes\2007\04.11.07jhmins.DOC Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, April 11, 2007 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5.30 p.m. ROLL CALL: Committee Members Gerry Johnson, Patrick Mayeda, Betty Stockton, Kathi Settle and Bob Gordon GUESTS: Toni Kincaid and Jim Hoffman STAFF: Christine Wallace and Dave Smith PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of March 2007 meeting were approved. The Financial Report for March 2007 was approved. ITEM #1: Election of Chair and Vice Chair • Ron Batterson was elected to Chair and Gerry Johnson was elected to Vice Chair. ITEM #2: Jack House Picket Fence • Jim Hoffman, from the Monday Club Rotary, presented information on the construction of the new Jack House fence. • Hoffman reviewed proposal for the cost of the fence. Hoffman will need to get approval from Rotary to cover the majority of costs. • Hoffman proposed making minor changes to the original plans • Use Douglas Fir pressure treated wood instead of Redwood posts. The change in wood would be less expensive and the posts will last longer. • Posts could be used to place in ground with concrete & gravel for drainage. • Pickets will be salvaged when possible and new pickets will be identical to the originals. • Hoffman asked if there was a possibility of cost sharing through the Jack House fund. A motion was made to accept design changes for Jack House picket fence. The motion was passed unanimously. A motion was made to provide $2,500 to be allocated towards the Jack House fence restoration project from the Jack House Fund. The motion was passed unanimously. • The plan changes will most likely be completed in 4-5 months and work will be scheduled for January –March 2008. • Jim Hoffman’s contact information is jim@hoffmaninc.com. • A no cost permit would be required for the project. Dave Smith will take care of the details and will need two copies of the plans with approved modifications. • Members of Rotary would like to place a commemorative plaque on or near the new fence. Jack House Committee Minutes for April 11, 2007 Page 2 of 3 G:\Everyone\Jack House\Minutes\2007\04.11.07jhmins.DOC ITEM #3: Jack House Sign • The open sign is usually blocked by the fence. • If a new sign is installed and raised, the open sign would be visible from the street. • The new Jack House sign will have a section for open house times that could be easily replaced when needed. • The price quote did not include the cost of sign removal but may include the cost of installation. Batterson will confirm the installation cost. • Christine Wallace will look into the possibility of the City of San Luis Obispo or the Parks and Recreation department allocating any available funds for this project. • Wallace will confirm whether or not the City logo will need to be placed on the new sign. • Posts will be 6x6 Douglas Fir. Batterson will confirm if posts will be pressure treated. ITEM #4: Presentation in May by Catherine Trujillo • Catherine Trujillo will be invited to a Jack House meeting to give a presentation on historical preservation. The presentation will begin after the meeting adjourns. • The Jack House Committee members will adjourn the meeting to the Jack House. Ms. Trujillo may need a table for the presentation. ITEM #5: Stanchions • Stockton feels the use of stanchions is necessary if a situation such as large wedding parties tours the house and there are not enough available Docents to cover the entire house. • Stockton feels 9 Docents are needed to full staff the house. • Stockton questions whether or not the Jack House is a living museum. Stockton read aloud the Wikipedia definition of living museum. Stockton concluded the Jack House is not a living museum. • Batterson stated the Jack House Docents did not feel the use of the stanchions were in keeping with the feel of the house. • Stockton had a list of 16 Docent names that agreed stanchions should be used if special displays are on exhibit. Stockton read quotes from Docents and a majority of Docents want to use stanchions. • Batterson asked if it is worth considering closing the house to wedding guest tours. • Stockton would like to keep house open and available to guests when ever possible. A motion was made to use stanchions during tours at the Jack House to protect treasures if requested by a person who has loaned items for display or when necessary for crowd control as determined by the Docent in charge of the tour when insufficient Docents are available to handle the situation. The motion was passed unanimously. • Mayeda stated the motion states that the stanchions could be used during regular tours as well as special occasions and/or weddings. • The facility host, Parks & Recreation Staff, are usually there to put up and take down stanchions for Docents. Jack House Committee Minutes for April 11, 2007 Page 3 of 3 G:\Everyone\Jack House\Minutes\2007\04.11.07jhmins.DOC • Kincaid asked how often 9 Docents were not available for the 8 weddings that requested the special tour. 6 out of 8 wedding tours were fully staffed. • 8 out of 30 weddings requested tours during 2006 wedding season. • Wallace stated that any new Jack House rules/regulations would take effect in 2008. Reports and Updates • Monthly Activities – Staff/Public Works o Wallace reported the Fire Marshal said the maximum amount of people in the house is 30. There can not be more than 10 upstairs at one time. The occupancy is determined by the number of available exits. o Wallace reported on Art in the Garden. The artist will give 15% of their sale proceeds to Art After Dark and 5% to the City of San Luis Obispo. o Wallace will be working to reduce the amount of money spent on Art in the Garden and work to get more free or low cost media coverage as well as other cost cutting ideas for the event. o Art in the Garden is scheduled for August 19, 2007, Noon – 5 pm. o Ken Schwartz approved the use of his Jack House painting for the Art in the Garden invitations. o Wallace will look into getting a copy of the Jack House deed to all committee members. • Docent Activities Toni Kincaid reported on the following items: o The tour and tea for the Manse on Marsh participants went well. There were 8 guests and 3 assistants attending. Docents will continue to plan similar events for other assisted living facility guests. • Member Comments o Batterson reported that Marilyn Darnell is working on a new booklet about the Jack House, titled The House that Jack Built. It includes history of the Jack House and items within the house. o Bob Wolf is the new Parks & Recreation Commission liaison to the Jack House. o Stockton stated that the stanchions were beautiful and hand made in 1984. o Settle asked where the wood burning stove from the house is kept. o Settle stated that the dining room table was refurbished by the Junior Matrons. The Junior Matrons are now Central Coast Women’s League. • Communications No communications were presented. Meeting adjourned at 7:27 p.m. to the May 9, 2007, 5:30 pm at the Parks and Recreation Administration Building.
