MINUTES
Parks and Recreation Administrative Office
Wednesday, May 9, 2007 5:30 PM
CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5.30 p.m.
ROLL CALL: Committee Members Gerry Johnson, Patrick Mayeda, Betty Stockton, Kathi Settle,
Bob Gordon and Bob Wolf
ABSENT: Gerry Johnson
GUESTS: Toni Kincaid
STAFF: Christine Wallace
PUBLIC COMMENT PERIOD:
There was no public comment.
CONSIDERATION OF MINUTES AND FINANCIAL REPORT:
The minutes of April 2007 meeting were approved.
The Financial Report for April 2007 was approved.
ITEM #1: Bylaws
• Ron Batterson asked for a review of the bylaws and requested any corrections or
changes.
• A change was made in the meeting start time from 7 pm to 5:30 pm.
Mayeda made a motion to accept bylaws. The motion passed unanimously.
ITEM #2: Fire Occupancy Regulations
• Fire Marshal established a maximum occupancy of 30 people for the Jack House with
no more than 10 people upstairs at one time.
• A subcommittee will be formed to meet with the Fire Marshal to get feedback about
how to work with the maximum occupancy number and look into any flexibility with
that number. Subcommittee members include Stockton, Mayeda, Batterson & Kincaid.
• Wallace will schedule meeting with subcommittee and Fire Marshal.
• In the past, the maximum occupancy for the Jack House was 48 with no maximum
upstairs.
• The holiday tours may become challenging with the new maximum occupancy.
• Ideas were generated to work on new plans or possibilities in dealing with larger
crowds in the Jack House at one time:
o Install smoke alarms if it allows for a higher occupancy
o Position one docent at bottom of staircase to count visitors upstairs – max 10
o Could the old elevator doorway be turned into an appropriate exit?
o House modification may be limited since it is listed as a Nationally Registered
Historic Home
o Wedding party tours may present a problem in the summer – possibility of not
allowing tours upstairs
o Use 10 laminated cards, one for each visitor upstairs, and only allow card
holders to the second floor with a docent monitor at bottom of stairs

Reports and Updates
• Monthly Activities – Staff/Public Works
Christine Wallace reported on the following:
o The Jack House was voted Best Community Garden in the New Times readers poll.
o VCB has e-blasts that go out to their email list and Jack House information may be
included in the blasts.
o The Film Commission had asked for a $25 donation and it is recommended that the Jack
House Committee not participate.
o Parks & Recreation staff members are ready for Mother’s Day at the Jack House.
o The annual committee parks tour will be held on July 11 at 1 pm. Wallace will need to
have a list of Jack House members attending by the June Jack House meeting.
• Docent Activities
Toni Kincaid reported on the following items:
o The Docents are ready for the Mother’s Day celebration.
o A tour of the Stowe House is being planned for Docents. A 12 passenger van will be
rented. A shopping trip may be included in the same day.
• Member Comments
o Batterson asked that the Jack House Banner be improved. Requested better colors,
bolder, and promote Jack House events specifically.
• Communications
No communications were presented.
Meeting adjourned at 6:19 p.m. to the Jack House for Jack House Preservation
presentation with Catherine Trujillo at 6:30 pm.
The June Jack House Committee Meeting will be held on June 13, 2007, 5:30 pm at the
Parks and Recreation Administration Building.
