CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of August 2007 meeting were approved. The August Financial Report was approved. • Batterson asked what the $390 deposit was attributed to on August 23, 2007. It was from Art in the Garden Jack House tours. Agenda Items: Item #1 Christmas Open House – Stockton • Stockton stated there is a limited number of Docents currently available. Stockton made a motion to eliminate the Sunday, December 2, 2007 open house time from the schedule in order to dedicate the Docent volunteer time to the December 6th decorating day and for tours on Dec 7th, 8th and 9th. The motion was passed unanimously. Discussion: o Johnson – how do the docents feel about this schedule? o Stockton – Docents would appreciate the schedule modification. The same decision was made in December 2006 and it worked well. Jack House Committee may want to consider closing this weekend every year in order to dedicate this time for Christmas open house preparation. o Batterson – The Jack House Committee could reconsider the decision to close the house if there were more Docents available to handle the work load of both tours and decorating the house for the holiday. o Stockton – December is difficult to schedule Docents because they have their own holiday plans and activities outside of the Jack House. Item #2 Christmas Décor – Batterson • Batterson – Jackie would like to have azaleas in addition to the poinsettias for the Christmas decorations. She would like to decorate the Azalea plants with battery powered lights. • Hurd – Docents would like to have 12 azalea plants. The price for a light packs are Jack House Committee Minutes for September 12, 2007 Page 2 of 3 G:\Everyone\Jack House\Minutes\2007\09 12 07JHMin (2).DOC approximately $3 each. • Gordon offered to look into the cost of 1 or 2 gallon azaleas (regular table tree size). • Batterson asked the Docent group for a total cost of plants and lights and bring the information back as a consent item for a future meeting agenda item. • Gordon will speak with Virginia Walters about the number of poinsettias and the cost of the plants purchased every year for the Jack House Christmas decorations. Item #3 Sign – Batterson • The money dedicated to the deposit of the sign has been donated by Katchy Andrews. The original quote will be honored by the Sign Place. The deposit is paid for and the work on the sign will begin as soon as possible once approved. • Batterson - The estimate for the total price for the new sign is $3,234. The deposit of $1,617 was paid. • The wording “last tour starts at 3:30 pm” will be listed on the sign near the open house times. Batterson made a motion to arrange for the Sign Place to move forward on the project with the original price quote. The motion was passed unanimously. Item #4 VCB Website – Batterson/ Wallace • Wallace reported that the Jack House is listed on the Visitors Conference Bureau for $480/year. The Jack House information on the VCB website links to the SLO City web site. Wallace requested approval for the authorization to pay to keep the Jack House information on the VCB web site. • Batterson – how utilized is this web site? Is it worth the money? • Johnson – does the JH site get lost with a big web site? • Wallace stated that the web site is well organized/categorized and the Jack House it well placed on the web site. Batterson made a motion to approve the $480 so the Jack House information will continue to be included on the VCB Web site. This issue is to be reviewed next year to determine if the Jack House Committee would like to continue with this service each year. The motion was passed unanimously. Mayeda asked for a report on the number of web views and click troughs. Wallace was notified about the web site when she received the bill for renewal. Stockton – is the VCB web site geared towards wedding/event venues? Wallace replied it is not. Reports and Updates • Monthly Activities – Staff/Public Works Christine Wallace reported on the following: o Art in the Garden – Aug 19, 2007. Over 130 people toured the Jack House. The artists did not do very well in overall sales. The Parks and Recreation Department made $232 from art sale proceeds and $920 from application fees for a total of $1,152. Had positive feedback from the artists about how they liked the event but requested that the event begin at 10:00 am instead of 11:00 am for the future. To promote the event radio advertising, posters and post cards were used. Johnson – This year there was only 22 artists. She would like to attract artists from past years. Would like to invite them to participate again. Wallace will put together a meeting and committee to review Art in the Garden event for next year. Batterson and Johnson would like to be included. Wallace to set date and notify people when appropriate. o Wallace will have a preliminary budget for the Christmas season, including the promotional banner and other avenues of promotion available at the next meeting. Current banner is pink and difficult to read. • Docent Activities Pam Hurd reported on the following items: o Jack House Committee reviewed the Docent minutes submitted by Toni Kincade and Pam Hurd. o Docents will review the Wedding/Events contract and give feedback to Wallace. o Docent’s opinion was overwhelmingly against having the gift shop open during wedding events. o Docents would like a sandwich board sign on the sidewalk to alert people the house and gift shop are open – a light weight sign would be needed. o Wording on sign should be short and simple. “Jack House and Gift Shop Open. Please come in! “ o On October 3rd a group of retired teachers will be taking a tour of the Jack House. • Member Comments o Batterson – Have not heard an update on the book being printed at Cal Poly. Stockton – reviewed book copy & shared fact corrections with author. o Stockton – first Jack House tour will be held on September 17th for a group from the Adult school – Exploring SLO County – approximately 25 people. The tour will consist of both parents and children. o Stockton – During a wedding tour on August 18th the Docents utilized the new ticket system for visitors touring upstairs. No more than 15 people were upstairs at a time. Stockton talked with bride ahead of time. The new system made it easy for Docents and worked well & without problems. o Batterson – Has noted two items for the next Jack House Committee meeting. The Christmas banner and azaleas should be on the agenda for October meeting. • Communications No communications were presented. Meeting adjourned at 6:15 p.m. to the October 10, 2007, 5:30 pm at the Parks and Recreation Administration Building.
