MINUTES
Parks & Recreation Administration Office

CALL TO ORDER: Vice Chair Patrick Mayeda called the meeting to order at 5:30 p.m.
ROLL CALL: Committee Members Patrick Mayeda, Gerry Johnson, Kylie Hatch and Betty
Stockton
ABSENT: Ron Batterson, Kathi Settle and Bob Gordon

There was no public comment.
CONSIDERATION OF MINUTES AND FINANCIAL REPORT:
The minutes of November 2008 were approved. There was not a December 2008 meeting.
The November & December 2008 Financial Reports were approved.
REGULAR ITEMS
ITEM #1: Reopening of the Jack House – Wallace
The sprinkler project has been put on hold until September 2009 to coincide with the bathroom
project. The Jack House will be closed from September through November 2009.
The official date for the Jack House re-opening is April 5, 2009.
The Jack House promotional fund may be cut or significantly reduced from future budgets so the
Jack House committee needs to review the scheduled events approved for the next year and how they
would like to prioritized and promote them. The Jack House promotional funds are allocated from
the City general fund.
The funds may be used for a big grand opening or a bigger Mothers Day celebration.
Festival Mosaic committee is considering using the Jack House facility during their scheduled
events.
Partnering with other organizations, such as performing arts groups, may be a good way to bring in
additional visitors as well as other introducing organizations to the Jack House and Gardens as a new
usable venue for their own events. The Jack House could be opened during scheduled events so that
more people may experience a tour.
Reports and Updates
Monthly Activities – Staff/Public Works
Christine Wallace reported on the following:
The next City budget cycle of 2009-2011 will need to be cut by 10%, 15% or 20%. Wallace
is working on a budget proposal for all three scenarios.
The foundation project has been completed.
In 2008 $2,100 was spent on Family Fun Day and only 100 people attended. Recommend
that this event be changed or dropped in 2009.

Pavers and landscaping around house have been disrupted and the original plan was not
to fix until after the sprinkler project was completed. Since sprinkler project was delayed
Wallace has requested a temporary landscaping fix for upcoming scheduled events and
weddings.
A request has been made to place the pavers back to their original spot. It is necessary to
have them back along with the new landscaping.
Toni Kincaid and Wallace will do a walk through in the Jack House in March to
determine what the professional cleaning crew will take care of.
Docents have given Wallace a list of events they wish to do in the upcoming year, but
with new budget information they are being asked to revisit and stream line the list of
events.
Wallace is open to any new ideas for free or low cost advertising for Jack House events
and tours.
There is a need to update the tree and plant labels placed in the garden. This may be a
good Cal Poly student project. If the Jack House Committee would like to move forward
with this type of project, the subject will need to be agendized if a budge t or cost is
involved.
The blinds in the dining room and upstairs nanny rooms need to be hung so sun damage
may be kept to a minimum.
Docent Activities
Carolynne Palmer reported on the following items:
Docents are going to Kennedy Library on January 29th at 10:00 AM to do additional Jack
House history research in archives.
Since the house has been closed there have not been a lot of docent activities.
Some of the clothing may be placed out on display for special presentations. The docents
would like to have manikins donated or for use on loan so they may display clothes in the
Jack House.
Docents shared expertise and experience from past professions and/or activities so they get
to know each other and available resources.
Member Comments
Johnson suggested going to the service clubs and to make announcements for upcoming
events or paying for the SLO Chamber Soap Box.
Mayeda suggested asking Jack House tour visitors to sign in and request an email or mailing
address so they may be invited to future Jack House events.
Stockton asked about the donation form Katchy Andrews regarding the donated trunk. The
donation needs to be formalized and documented for the records.
Mayeda, Batterson, Louis and Chuck walked through the Buggy Shed and noted what could
be used if it were to be open to the public. If the inside were to be opened to the public there
would be a need to create wheel chair access. A recommendation on this issue may be
brought before the Jack House Committee at a future meeting.
Stockton suggested pulling out the buggy for special occasions or events. An appropriate
parking place would have to be found on the grounds.
Batterson and Mayeda walked through the house and gardens with Andrew and a general
maintenance list was established, but it doesn’t seem like any of the work requests have been
completed.
