HomeMy WebLinkAbout02-11-09 JHC MinutesJack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, February 11, 2009 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:30 p.m. ROLL CALL: Committee Members Patrick Mayeda, Gerry Johnson, Kylie Hatch and Betty Stockton, Bob Gordon and Kathi Settle. STAFF: Christine Wallace GUESTS: Toni Kincaid COUNCIL MEMBER: John Ashbaugh PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of January 2009 were approved with two corrections: Bob Gordon was absent for the January meeting. Item #1 – Sprinkler project should be fire sprinkler project. The November & December 2008 Financial Reports were approved. REGULAR ITEMS ITEM #1: Review of the Bylaws– Wallace  The committee reviewed the bylaws  Batterson mentioned Article 7 – Work Plan. There may not be a need for this portion of the bylaws any longer. It was used on a regular basis when there were regular work items that needed to be addressed. He expressed that it is a good idea to keep in bylaws, but it may not be needed or utilized all the time. Would like to revisit the bylaws again during the March 2009 meeting.  Settle agreed the work plan statement was a good item to keep in the bylaws at this time. She may want to amend if necessary. Settle would like to place the Work Plan on the agenda for a future meeting. ITEM #2: Potential Events for 2009 - Wallace  The potential partnership with Arts Obispo & Festival Mosaic may not be available this year. The Festival Mosaic organizers may not be able to commit as a Jack House “partner” but they expressed interest in possibly renting the Jack House and Gardens for one of their events. The Festival Mosaic group would like to continue pursuing a possible partnership for 2010 events.  Arts Obispo will not be able to partner with the Jack House Committee for 2009 events, but will provide a list of their performers/theatre groups for future use as needed.  SLO Vintners are not available for partnership at this time. Wallace will continue to stay connected with them for future possibilities. Jack House Committee Minutes for February 11, 2009 Page 2 of 3 Reports and Updates Monthly Activities – Staff/Public Works Christine Wallace reported on the following:  Good Morning SLO Update – Chamber breakfast did not have a ‘soap box’ spot available before the Mother’s Day Concert. The Pat Cormick band may be able to play at the SLO Chamber breakfast to promote the Mother’s Day event.  Wallace recommended utilizing a portion of the promotional fund to cover the cost of printing new garden map inserts for the Jack House brochures. Wallace stated the cost of the inserts is dependent upon the quantity ordered. The Jack House web site should be a new part of the Garden inserts instead of printing specific dates for future events. The Jack House Committee members agreed this would be a good idea to move forward with.  An idea to include a grand re-opening along with the Mother’s Day event would maximize advertising. Wallace would like to give away cake slices as a new way to celebrate both occasions. Wallace plans to approach the Madonna Inn for a donation or partial donation for cakes.  There is planned adverting for The Tribune and it is suggested that paid ads be placed in the Sunday paper a week before the event, Thursday Ticket and the Saturday paper before the event.  Gordon suggested printing business card sizes inserts be made up to promote Mother’s Day and Grand Re-Opening. These cards may be inserted or included in cards/flowers being delivered to their customers of local florists. Partnering with a few local florists should not be difficult and it is another free way to advertise to local residents.  Batterson commented the proposed budget Wallace suggested should work well. ITEM #3: Tree Markers – Kincaid  Kincaid reported on tree markers still in the garden. There are two trees that have larger markers and the garden plants have smaller markers. Kincaid suggested having new markers made for other trees and plants in the garden. The cost for a 2” x 4” – 1/8 inch plastic material for 33 plant markers will cost $196. 02. The suggested sign company will print up to 10 words for each plant. This is the same company the SLO Botanical Society uses for their garden plant markers. They highly recommend the makers and the company. ACTION: Batterson made a motion to approve up to $300 from the promotional account to cover the cost of ordering 2” x 4” markers for the Jack House Garden. The motion was passed unanimously. Docent Activities Toni Kincaid reported on the following items:  Introduced a book titled The Jack House and Gardens. The book reflects the 25 anniversary of the Jack House opening to the public and introduction of docents.  Toni would like to see about a one time event to celebrate the 25th anniversary. But feedback from others is that there are too many wine events in this area so would not recommend doing one at the Jack House.  Toni would like to utilize the dress forms to display clothes for the grand reopening.  Toni received a letter from Katchy Andrews with a donation of $1,000 for costumes for the docents. Toni would like to use the donation to purchase vintage children’s clothes for display or hats and shawls for docents to wear.  If docents purchase an item and are reimbursed from the Jack House donated funds, then the docent would be expected to return it to the Jack House collection if they were to resign as a Jack House Committee Minutes for February 11, 2009 Page 2 of 3 volunteer. The items should be stored at the Jack House on a regular basis rather than the docents taking the item(s) home.  The City went to a new phone system and interrupted the land line service (attached to the alarm system) at the Jack House. The way the phone is currently set up the land line is not available to use for incoming or outgoing calls. A new system of cells phones may be utilized in the Gift Shop and in the Jack House for the docents to use for business or emergencies.  The docents may need a van to Port San Luis so they may view the lighthouse. No date has been confirmed yet. April 18 and 25th are the two proposed dates. Member Comments  Batterson asked when the Wes Connor dedication plaque will be posted on the fence. Gordon will check and request it be posted by April 1, 2009.  Mayeda mentioned the cost of the remodel of the bathroom being over $500,000 to Alan Settle and he mentioned if that amount of money is going to be spent then a new location for the bathroom should be found and the garden redesigned.  Settle expressed concern about the SLO City budget and it being a big concern for all SLO City departments.
