MINUTES
San Luis Obispo City/County Library
Wednesday, September 9, 2009 5:30 PM
CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:30 p.m.
ROLL CALL: Committee Members Patrick Mayeda, Gerry Johnson, Kylie Hatch and Betty
Stockton, Kathi Settle and Bob Gordon.
STAFF: Christine Wallace
GUESTS: Pam Hurd
PUBLIC COMMENT PERIOD:
There were no public comments.
CONSIDERATION OF MINUTES AND FINANCIAL REPORT:
The minutes of August 2009 were approved.
The August 2009 Financial Reports were approved.
REGULAR ITEMS
ITEM #1: Historical Society Loan – Mayeda
• Mayeda has been in touch with Kimberly from the Historical Society (HS) who would like to have
all items back. Mayeda asked for boxes from Historical Society and the JH staff/volunteers will box
and return to HS.
• The black lace dress that belonged to Ethel will need to be returned to the HS as well.
• Stockton would like to know when the boxes are available and Mayeda is available to help pack.
• The letter request for items on permanent loan is no longer needed.
• There are 7 items identified that will need to be returned as well as any other items on loan. Some
items are on regular display and others are not. They will all be returned
• Mayeda would like to ask for a permanent loan again in the future. It just may not be a good time
right now for the Historical Society partnership.
Reports and Updates
Monthly Activities – Staff/Public Works
Christine Wallace reported on the following:
• Mr. Swen, owner of a property bordering the Jack House and Gardens, requested the trees
along the fence line be trimmed. Wallace followed up by asking the Public Works manager
to cut back tree branches. Public Works recommended keeping the long branches because it
was an effective way to cover the fence and it is a nicer back drop for event photos. It was
suggested to start a climbing vine to help cover the fence and still maintain a nice looking,
green background if limbs of the tree are to be trimmed.

• The Jack House Fire Sprinkler project is moving forward. Mike McGuire met with Wallace
and a couple Jack House committee members to do a walk through of the house.
Suggestions were made regarding the placement of water pipes and other structural issues.
• Wallace and staff will be handling the packing and moving of items in the house that need to
be protected.
• The Fire Sprinkler project bids came in higher than expected. The extra allocation of funds
were approved and the tentative start date is September 28.
• The start of the holiday Jack House tours will most likely be December 11, 12 & 13.
Wallace is planning for it and will coordinate the details for advertisements and decorations.
• The October Jack House Committee meeting is scheduled for the regular time and place, but
the November meeting is the third Wednesday of the month and starts at 4 p.m. The meeting
will be held at the Ludwick Center on Mill Street.
Docent Activities
Pam Hurd reported on the following items:
• The docents recommended the Victorian Tea event possibly be held every other year rather
than every year.
• Docents would like to open the Jack House on December 6, but not sure it is possible. It is
up to staff to update and schedule accordingly.
• Docents are ready to go in to decorate closer to December once the open date is confirmed.
• Wallace will notify the docents of date(s) for packing the Jack House objects if they care to
assist staff. There are a lot of smaller items that need attention.
Member Comments
• Stockton - asked where the mannequins are now located. Wallace does not know. Should
inquire with Toni Kincaid.
• Johnson – the volunteer appreciation dinner is at the Ludwick Center on September 23.
• Settle – asked if resources are available for packing needs? Wallace assured that there will
be supplies available.
Communications
• No communications at this time.
Meeting adjourned at 5:54 p.m. Next meeting is October 14, 2009 at 5:30 p.m at the San Luis
Obispo Parks and Recreation Administration Office.
