ROLL CALL: Committee Members: Ron Batterson, Kathi Settle, Patrick Mayeda, Bob Gordon, and Susan Updegrove, ABSENT: Gerry Johnson, Betty Stockton STAFF: Shannon Bates GUESTS: Docent President: Toni Kincaid PUBLIC COMMENT PERIOD There were no public comments. CONSIDERATION OF MINUTES MOTION: (Batterson/Settle) Approve the January 9, 2013 minutes as amended. Approved: 5 yes: 0 no: 2 absent (Johnson and Stockton) CONSIDERATION OF FINANCIAL REPORT MOTION: (Batterson/Mayeda ) Approve the Financial Report as submitted. Approved: 5 yes: 0 no: 2 absent (Johnson, Stockton) REGULAR ITEMS 1. ISBN Numbers – Ron Batterson Chair Member Ron Batterson: ISBN Numbers have been located. Marilyn Darnel (author: The House that Jack Built) is on possession of the numbers. MOTION: (Batterson/ Settle) Move that Darnel assumes ownership of the ISBN numbers purchased by the Jack House Committee. Approved: 5 yes: 0 no: 2 absent (Johnson, Stockton) 2. Fee for Tours – Toni Kincaid Guest/Docent President Kincaid: recommended the Committee raise the special tour fee for garden events from $50 to $100. Jack House Committee Minutes March 13, 2013 Page 2 of 3 Chair Member Batterson: recommended proceeding with the fee increase. Member Updegrove: sites the City of San Luis Obispo’s cost of service study to help adjust cost. The study examines direct and indirect costs for the City of San Luis Obispo. Staff Member Bates: monies from Jack House tours is deposited into the Jack House Committee fund, therefore, Jack House tour rates will not be included in the cost of services study. MOTION: (Batterson/ Settle) Move to increase fee from $50 to $100 for Jack House tours during Garden events. Approved: 5 yes: 0 no: 2 absent (Johnson and Settle) Staff Member Bates: prompted questions regarding other fees Jack House tours. Guest/Docent President Kincaid: Sunday weddings sometimes request the closing of the Jack House and gift shop during event. Staff Member Bates: suggested that a flat fee to close the Jack House during Sunday special events (i.e. weddings, garden parties) should be considered. MOTION: (Updegrove/Mayeda) Move to institute a $100 fee for Sunday events requesting the Jack House and gift shop to be closed for public tours. Approved: 5 yes: 0 no: 2 absent (Johnson and Settle) 3. Acquisitions from History Center – Toni Kincaid Guest/Docent President Kincaid reported that all the garments on loan to the Jack House from the History Center were in-turn donated back to the Jack House. Most articles are women’s clothing. Member Settle: Enquired about any storage problems that may occur. Guest/Docent President Kincaid: Did not foresee issues with storage of historical items. 4. Staff Report and Updates – Shannon Bates Staff Member Bates reported on the following: *Saturday, March 30, the Jack House will play host to the Annual Egg Hunt. The Egg Hunt has been highly attended, reaching capacity. Parks and Recreation staff has slightly adjusted the layout to accommodate increased participation. Jack House Committee Minutes March 13, 2013 Page 3 of 3 * Sunday, May 12, the Jack House will play host to the Annual Mother’s Day Concert. The Quiet Knights have been reserved to play the event at the same cost as last year. * Parks and Recreation is in the process of defining their relationship with the San Luis Obispo Senior Center Board. Parks and Recreation would like to give examples of already established relationships and would appreciate if members of the Jack House Committee would volunteer to meet with the Senior Center Board one hour before the Wednesday, April 10, Jack House Committee meeting. Members Settle, Batterson, and Gordon agreed to meet with the Senior Board one hour before the Wednesday April 10, Jack House Committee meeting. *Recruitment for the Community Services Supervisor Position is currently working through the eligibility list. 5. Docent Activities Guest/Docent President Kinkaid reported on the following: * Judy Kaswell won’t be available for Docent Activities due to medical reasons. * The Jack House is always in need of more Docents. 6. Member Comments/Communications Member Gordon: The Cartridge House meeting was interesting. Chuck Crotzer will be putting together a list of parameters that will be presented to the Jack House Committee. * The Friends of the Jack House finished their bylaws and are fine tuning the details of their first event. *Staff Member Bates: Invited all Jack House Committee members to the Tuesday, April 9, City Council meeting which will discuss Capital Improvement Projects (including the Jack House Gazebo project). Meeting adjourned at 6:44 p.m. Next meeting is April 10, 2013 at 5:30 pm at the Parks and Recreation Office.
