SUBJECT: REQUEST FOR RECORDS DESTRUCTION
On April 24, 2001 the City Council adopted a Records Retention Policy and
Schedule. In accordance with that policy and schedule, certain records have been
identified as eligible for destruction. A listing of those records is attached.
Nine boxes of records exceeding the retention requirements and, as such, are being
prepared for destruction. The method of destruction will be shredding the box
contents for recycling by SHREDEX. The cost of this service will be
approximately $3.00 per box as quoted by SHREDEX. SHREDEX is scheduled
to come to City Hall to shred the boxes on December 26, 2001.
Please sign below indicating your approval for the destruction of the attached
listing of records.

We've called back from Sandercock audio tapes from 1982-1998 and will be preparing them for
destruction pursuant to our new retention schedule. Besides the DeVaul/Froom Ranch -
Sullivan/Chrisitianson lawsuit, is there anything else pending that you might want us to pull out tapes on
before we continue? Note: We will, of course, be providing you with a memo requesting authorization to
destroy prior to actually dumping them .... but it will only list the time period. PD is going to take about 500
of the newer ones to erase and reuse but the rest will be thrown away because they're not recyclable and
so old.

SUBJECT: REQUEST FOR RECORDS DESTRUCTION AND CERTIFICATE OF
DESTRUCTION
On April 24, 2001 the City Council adopted a Records Retention Schedule. In accordance with
that schedule, certain records have been identified as eligible for destruction. A listing of those
records is below. According to the Utilities Conservation Department, audio tapes cannot be
recycled because they are a mix of materials. Approximately two boxes of audio tapes will be
forwarded to the Police Department for reuse. Some videotapes will be given to the cablecast
operator for reuse. The remaining audio and videotapes will be disposed of in the dumpster.
