BANQUET MENUS: Flnal banquet menus, room arrangements, and all other details with respect to your function should be submitted to the Catering Department at least two weeks prior to your scheduled function date. This will ensure the availability of the desired menu items. Upon request, our Catering Staff would be happy to design a menu especially for your function. Should your group request a split menu, the cost of the higher priced entree of the two selections will be applied to all meals. 2 GUARANTEES: The guaranteed attendance is required 72 hours, or three (3) business days prior to your scheduled func- tion data. This number will be considered a guarantee, not subject to reduction. We need your assistance in assuring your banquet is a success - please notify us of your guarantee, otherwise, the estimated count on the catering contract will be considered as the guarantee. The Hotel will prepare to serve for 5% over the guaranteed number. 3. STORAGE: All incoming packages for meetings may be delivered to the Hotel three (3) working days prior to the scheduled function date. Please provide the following information on all packages: 1) Name of Organization; 2) Date of Function; 3) Meeting Contact; 4) Catering Manager Contact Name. Due.to limited storage space, please advise the catering contact of large shipments in advance, as it may be necessary to arrange for storage at the client's expense. Removal of all packages is strictly the responsibility, of the meeting planner or organization. The hotel personnel may request that the customer obtain bonded security when valuable merchandise or exhibits are displayed or held overnight in the Hotel.The Hotel is not responsible for damage to or loss of any items left in the Hotel prior to or following any function. The Hotel makes no warranties or represen- tations to the•customer other than those printed hereon. 4. DIRECT BILLING: If direct billing is requested, all the required credit information must be submitted to the Hotel at law two (2) weeks prior to your function date.. Full payment is required upon receipt of statement S. DEPOSITS: A deposit is due with the signed copy of the catering contract. The specific amount and due date will be specified on the catering contract. 6. CANCELLATIONS: In the case of cancellation of a signed definite catering contract, the deposit maybe refunded in full If the Hotel has received written notification at least 60 days in advance. Refunds for cancellations of major parties, such as large group meal functions. wedding receptions, Christmas parties, etc., may be refunded at the discretion of the Hotel. It will also be at the discretion of the Hotel to refund a deposit if cancellation notification is received less than 60 days prior to the function. When cancellation is made within 72 hours of event, expenses incurred by the Hotel in preparation for the event become the respon- sibility of the patron. Final decisions on refunds will be made atter the scheduled date of function. 7. DECORATIONS: All decorations brought into the Motel by the patron must be approved prior to arrival win accordance with the regulations of the local Fre Department. No decorations may be affixed to a stationery well or ceiling with tape, nails, staples, or any other substance unless prior approval has been obtained through the Catering Department. 8. FUNCTION ROOMS: A group's function room assignment is based on the expected attendance, set-up and meal functions. Any revisions to the counts. times, dates and meal functions, may necessitate a change in the room assignment andfor room rental. A necessary revision will be made at the discretion of the Catering Manager. 9. AUDIOVISUAL SERVICES: Audiovisual requirements may be requested through the Catering Department Audiovisual equipment is handled through a local audio/visual company and their current charges will apply. 10. PRICES, SERVICE CHARGES AND SALES TAX: All prices are subject to change with prior notification when poasible.A taxable 16% service charge and the applicable sales tax will be added to afl food and beverage charges. In order for a group to receive exemption from taxes, a copy of the tax exempt form must be supplied to the Hotel before the scheduled function. A tabor charge of $50 will apply for all meal functions with fewer than 25 guests. 11. SECURITY: The Hotel will not assume responsibility for the damage or loss of any merchandise or articles left in the Conference Rooms and Hotel prior to, during or following the event. In addition, guests are responsible for any damages to the Hotel or property during their stay. The Hotel may require additional security guards for certain events, when deemed necessary by the management. All costs are the responsibility of the client 12. BANQUET CHECKS. All banquet checks must be signed by the person in charge or by a designated representative at the completidn of each function. Any discrepancies in counts or charges should be identified and resolved at that time. 13. SCHEDULED FUNCTION TIMES: Function guests will be allowed to enter the banquet room and expected to depart at the times stated on the catering contract. 14. SPECIAL CONDITIONS: No food or beverage of any kind will be permitted to be brought into the Hotel from the outside by the patron, guests or invitees without special permission from the Hotel. The Hotel reserves the right to charge for the services of such food or beverages. They havemore than 650 local member associations throughout the state and have an almost fifty-year history of representing the interests of the men and women who patrol our neighborhoods and protect our streets and citizens. This week a new president is moving into PORAC's Sacramento headquarters. Sgt Clancy F. Farik'Jr., a member of the Sonoma County SWAT and Dive teams, who also served as the incident Commander during the 1995 and 1997 floods in the lower Russian River Region, was elected Saturday as president by his peers at the heavily attended convention in Monterey. Faria's election means he will take a one-year leave of absence from his job, paid for by PORAC, and will be responsible for running an organization that operates on a multi- million dollar budget and provides legal, legislative, political and career support to the membership. Faria, a popular officer with a Masters Degree in Public Administration, has lectured at the FBI Academy in Quantico and at various seminars on hostage negotiations. Over the past twenty years he has been assigned to stations in Santa Rosa and Guerneville and has tamed the respect of his colleagues for his positive outlook and creativity. Sgt. Faria has been involved in a number of legislative proposals that have recently become law. He worked closely with then State Senator, now Congressman, Mike Thompson, on bills that tightened penalties for violence. Faria also served last year as the Vice -President of PORAC. Alan Davis Founding partner of the law firm of Davis and Reno Member of California Bar since 1966. He has specialized in representing public safety labor organizations since that time. He authored almost all of the interest arbitration initiative measures in California that have been adopted over the last 25 years. There are now 22 such measures that have been adopted by the voters in central California and one in the City of Anaheim that cover police officers and firefights and in several instances non - safety employees. July 26, 2000 I calculated the costs for the 7 Cities Meeting (Embassy Suites bill + cost for Peter Herzog + cost for the Music Factory) and sent letters to each city with their cost. (Most cities have sent their checks to us.) August 19, 2000 Clerk's office received a "past due" bill from Embassy Suites for $1,233.64. It was for the following charges: • The cost for Steven Woodside's room. (Remember we thought Embassy Suites put it on the City's credit card. I checked and they didn't.) • The cost for the use of the room for the meetings and appetizers for the evening meeting. (Evidently the $375.75 was for the food for the lunch only ---guess if it sounds too good to be true it is too good to be true). I told Diane to go ahead and pay the bill because it is a legitimate cost. The line item the bill was paid from is the Council "trips and meetings." Current budget for that line item is $7,700 (but with the $$ coming in from'the other Cities for the joint meeting it's up to $8,400. Two more cities will be sending in money. That should put that line item to over $8,700). At the end of the last fiscal year that line item had a remaining balance of over $4,500. I don't think we should re -bill the cities with the additional cost ($134.00 per city—had to back out the $375 for the earlier meeting for food) because it would be too too tacky.
