Cox, Streets Manager4Cr/-' SUBJECT: Vehicle Fuels, Lubricants and Solvents Purchase Contract C.A.O. RECOMMENDATION: By motion, approve specifications for Vehicle Fuels, Lubricants and Solvents, Specification No. CY 92-003 and authorize soliciting of bids and contract award by the CAO, if the lowest responsible bid is within the Engineer's cost estimate. DISCUSSION: The contract that will result from this bid will provide all the vehicle fuels, lubricants and solvents needed by all city departments. This contract will comply with Purchase Control Procedure 401-3 . At present the City does not have a contract with any fuel distributor. This contract calls for all City Facilities that have fueling capabilities to be serviced. By placing all of these locations under one contract this should provide the City the lowest price possible and reordering and process of billing should be simplified. This is a one (1) year contract with an extension provision. Fiscal Impact: It is estimated that there should be no significant change in cost as each of the different city facilities order their own fuels when they are needed from the lowest price source available. Each of these facilities have their own line items for fuels and billing would remain itemized for each facility. Operating Budget for FY 1992-93 provides funds in the following accounts for the purchase of fuels: Corporation Yard 001-5052-012-070 $ 72,500 Fire Station #1 001-8544-012-070 $ 12,800 Police Station 001-8035-012-070 $ 21712 001-8037-012-070 $ 44, 121 Busses 053-1075-012-070 $ 72 . 000 (contractor supplied location) Annual Total Budgeted for Fuels $204, 133 Alternatives If the Council decides not to execute this contract, then each of the City's fueling locations would continue to acquire fuels individually as in the past. However, staff believes that this is not in accordance with the Purchasing Control Procedures.
