SUBJECT: Copier for City Clerk and CAO Office
RECOMMENDATION: By motion, approve the purchase of a copier in conformance
with City policies; appropriate $2,700 from the equipment
replacement fund.
DISCUSSION:
Staffing levels in both departments has been cut significantly, and we are working
cooperatively to cover each other's telephones and visitors. The existing desktop copier is
extremely slow,forcing members of both offices to constantly leave the office and walk down
the hall to make copies if more than one or two pages are required (a frequent occurrence.)
The City Clerk department fully intended to purchase a faster copier in fiscal year 92-93;
but did not acquire it because we understood that our copier was on the replacement list
for fiscal year 93-94. We have discovered this is not the case, requiring us to make the
request from Council.
The copier would enhance the productivity of both departments, and allow us to provide
faster service to the public.
CONCURRENCES: The Finance Director concurs with the recommendation.
FISCAL IMPACT: A reduction of$2,700 in the fund balance for equipment replacement.
ALTERNATIVES: 1) Not purchase the copier.
2) Defer the purchase of the copier.
