HomeMy WebLinkAbout11-13-02 JHC MinutesJACK HOUSE COMMITTEE MINUTES Wednesday, November 13, 2002, 4:00 PM Jack House, 536 Marsh Street, San Luis Obispo CALL TO ORDER: Chair, Ron Batterson called the meeting to order at 4 pm ROLL CALL: Chair, Ron Batterson, Vice Chair Wes Conner, Committee Members, Bill Pyper, Gerry Johnson, Marion Rodman, Martha Schwartz, and John Tischler STAFF: Richard Ogden and Kim Walker PUBLIC COMMENT PERIOD: Representatives from Coast Bank invited the Committee Members to attend their grand opening and ribbon cutting ceremony. Schwartz asked if the bank would allow the Docents to use their parking lot on Thursday’s. They agreed and asked that the Docents check with Ann at the bank and park in the back section of the lot. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The Minutes of October 9, 2002 meeting were approved as submitted. The Financial Report of September and October, 2002 were accepted as presented. ITEM #1: Carriage Barn The Committee toured and discussed plans for the Carriage Barn. After d iscussion the following decisions were made.  The buggy will be moved to the front area which will be developed into a museum with the back area being used for chair and table storage.  A general inventory of items to be displayed will be prepared.  Conner will contact Joe Sabol at Cal Poly regarding a permanent loan of farm implements to display in Carriage Barn.  The iron bed currently stored in the Carriage Barn will be assembled in nanny area if possible.  Loft space in Carriage Barn will be used to store extra items. ITEM #2: Fence Plan Review Tischler reviewed plans for picket fence repairs with the Committee. After discussion the Committee decided the following:  Whenever possible existing pickets will be saved.  The height of the proposed fence surrounding the maple tree will be 30”.  Existing paving stones on side of maple tree will be replaced with concrete strip around fence with a redwood header 6” on either side of fence and wood chips under fence. Jack House Minutes Minutes for November 13, 2002 Page 2 of 3  New shade plant landscaping will be added against fence where Morning Glory plant is not sufficiently blocking the view.  Budget will be developed to purchase plants where needed.  Flagstone wall at left side of Carriage House will be continued to come down sidewalk incorporating existing plaque.  Remove portion of walk not under new flagstone wall and pour a new walkway.  Ogden will contact Tolson regarding safety lighting. If nothing is currently scheduled this issue will be added to a future agenda item.  Magellan Fuchsias that are missing at back corner of House by maple tree will be replaced. ITEM #3: Decoration and Preservation Policy Tischler has finalized the Decoration and Preservation Policy. After discussion, the motion to accept the Decoration and Preservation Policy was moved and seconded, it was passed unanimously. ITEM #4: 2003 Jack House Calendar Draft of the Jack House Calendar was presented to Committee. Discussion ensued. Jack House Calendar was accepted with the following modifications.  May – Add Jack House information to Showcase.  July – Add Chamber Mixer to Jack House Calendar. Walker to provide details.  December – There is some question about the Docents’ availability on the 28th. Schwartz will talk to Docents and report to Committee. ITEM #5: Meeting Times After discussion it was decided to change the meeting time to 5:30 beginning with the January meeting. ITEM #6: Reports and Updates  Monthly Activities - Batterson distributed the following report submitted by Tolson.  Fire Sprinklers: A letter of intent has been received. The designer would like to attend a meeting to discuss design options. This will be added to the January Agenda.  Driveway Drainage Solutions is waiting for engineering plan.  Poinsettias and multi branched tree will be delivered to House on December 4th.  Table and chair carts are in the process of being re-wheeled for easier movement from new location in Carriage Barn. - Schwartz reported that piano restringing is nearing completion. Once the stringing is complete it will be tuned. - Walker reported that a Press Release will be prepared with new hours. She will order stickers to put over hours area on the brochure. Schwartz will have Docents add stickers to brochures. In addition, she has prepared ads to run in the Jack House Minutes Minutes for November 13, 2002 Page 3 of 3 Thanksgiving Day insert of the Tribune and will be talking to KSBY about doing a morning spot for Christmas.  Docent Activities Schwartz showed the Committee a sample of the tree ornaments. She will be primarily using native plants with the addition of a representation of the Twelve Days of Christmas.  Member Comments Discussion ensued regarding a live vs. plastic Christmas tree for the House. After discussion Conner, Pyper, and Schwartz volunteered to cut a live tree and have it at the House on the 4th. Meeting was adjourned at 6:30 pm to the January 8th, 2002 Jack House Meeting to be held at, Parks and Recreation Administrative Office at 5:30 pm.
