HomeMy WebLinkAbout05-10-06 JHC MinutesG:\Everyone\Jack House\JH Committee\Minutes\2006\5.10.06.DOC Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, May 10, 2006 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5.35 p.m. ROLL CALL: Vice Chair Gerry Johnson, Committee Members Bill Pyper, Wes Conner and John Tischler, Patrick Mayeda. STAFF: Rich Ogden, Sheridan Bohlken and Larry Tolson. GUESTS: Jackie Kane and Toni Kincaid. PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of April 2006 meeting were approved. The Financial Report for April 2006 was accepted. ITEM #1: Victorian Games Day  Scheduled for June 25th, 12-4 pm. Event will be promoted and tickets sold through the SLO Chamber of Commerce office as well as the Parks and Recreation office.  A new, bigger, professionally made sign of “No Food or Beverages in Jack House” will be posted.  Promotional flyers will be sent out through the SLO Flyers.  A motion was made to authorize up to $500 of the Advertising budget, to be used to create and distribute Victorian Games Day flyers through SLO Flyers. The motion was passed unanimously. ITEM #2: Art in the Garden  The percentage artists give back to the Jack House fund will remain the same as 2005.  Kim Walker has already received 8-10 artists’ applications.  A full report will be given at the June 2006 meeting. ITEM #3: PowerPoint Presentation  The Jack House and Gardens PowerPoint presentation has been updated and is available to docents for recruitment and promotional purposes.  Jack House Committee will review presentation and return feedback at the June 2006 meeting. ITEM #4: Keys for Docents  Jackie Kane is currently the only docent in possession of a Jack House key.  Jackie Kane would also like a key to the bank/back gate. Additional material was used because of incorrect measurements on original plans.  A motion was made to approve an additional $1,474.73 form the Jack House fund to pay for additional materials on the garden wall. The motion was passed unanimously. Reports and Updates  Monthly Activities o Ogden reported that the Jack House was cleaned by Service Masters on May 10th for four hours. He will set a time for Jackie Kane to meet with Service Master Supervisor to review cleaning expectations & guidelines. o Ogden reported that the Mother’s Day planning is going well and KSBY will do a report on the event. A request was made for a docent or committee member to be available for the interview. o Tolson passed around the trunk cutting of the Holly tree. It had approximately 120 rings which indicates it must have been a part of the original plantings of the Jack House Gardens. o Tolson reported that the bent gutter on the Gift Shop was repaired. o Tolson presented an update on the foundation project. The project is proposed for the 2007/09 budget. The project will disrupt the garden three feet all the way around the house. The Magnolia tree will need to be dug up and boxed during the project. The tree will be returned to its original spot after foundation project is completed. o Tolson proposed a plan for the house elevator. If the elevator is to be removed it should be completed at the time of the foundation project.  Docent Activities Jackie Kane reported on the following items: o Presented new travel hats to Committee Members for review. The hats are now on sale in the gift shop. o Docents would like to have a book produced about the Jack Family available for sale at the gift shop. o A request was made to have new brochures delivered to the Jack House. o A survey will be given to all docents asking about the type of field trips they would like to attend ~ locally or out of county.  Member Comments o Connor requested that docents generate a plan and present it to the Jack House Committee in order to dedicate the Martha Schwartz Memorial Bird Bath.  Communications No communications were presented. Meeting adjourned at 7:15 p.m. to the June 14, 2006 meeting at 5:30 pm at the Parks and Recreation Department.
