HomeMy WebLinkAbout06-14-06 JHC MinutesG:\Everyone\Jack House\JH Committee\Minutes\2006\6.14.06.DOC Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, June 14, 2006 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5.32 p.m. ROLL CALL: Vice Chair Gerry Johnson, Committee Members Bill Pyper, Wes Conner and Patrick Mayeda ABSENT: John Tischler STAFF: Rich Ogden, Sheridan Bohlken and Larry Tolson PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of May 2006 meeting were approved. The Financial Report for May 2006 was not available. ITEM #1: Victorian Games Day  Bohlken presented a financial outline for review.  Johnson requested a financial comparison of the 2005 & 2006 costs for review after the event.  Tickets are currently being sold at the Chamber of Commerce office.  Docents will be available for tours during the event, 12.00-4.00 pm. ITEM #2: Art in the Garden  Ogden gave an update on the event planning schedule.  Lunch will be provided to all artist and Docents again this year.  The City Trolley is not able to stop at the Jack House. The closest drop off site is at the corner of Nipomo and Marsh.  Johnson requested a financial comparison of the 2005 & 2006 costs for review after the event.  Committee Members Pyper, Conner, Johnson and Mayeda will be available the day of the event. Reports and Updates  Monthly Activities o Ogden reported there will be no Jack House Committee meeting in July. The Parks tour will take place on July 12 at 9.00 a.m. at the Laguna Lake Golf Course. o Ogden requested from the Docents a date they would like to dedicate the Martha Schwartz memorial bird bath. A Sunday afternoon from 12.00 – 1.00 may be the best day and time. The Parks and Recreation Department would like to invite City officials and community members to the dedication. o Tolson reported that the bird bath was damaged but is now fixed and has been put back on its base. o Tolson began the RFP for the Jack House sprinkler project. Jack House Committee Minutes for June 14, 2006 Page 2 of 3 G:\Everyone\Jack House\JH Committee\Minutes\2006\6.14.06.DOC  Docent Activities Jackie Kane reported on the following items: o Tickets were available for the Victorian Games Day through the Docents. o Rules and guidelines need to be reviewed with people that rent the facilities. o Feedback/corrections about the Jack House PowerPoint presentation were given to Rich Ogden. o The Docent roster has been updated. o Docents have requested a field trip to the Stowe House in Santa Barbara. o Docents have requested money to pay for the Jack House brochures be place in the hotel information racks. The cost is $200 for 3 months o The Docent hand book will be updated and distributed to new Docents. o Jack House Mugs were taken to KSBY for publicity purposes on Daybreak. o New Docent badges were requested. o Power was off in the Gift shop recently.  Member Comments o Conner offered to assist with Garden tour training for new Docents o Conner announced a July 4th celebration at Mitchell Park. o Conner requested that Docents prepare a few words of remembrance during the Martha Schwartz Memorial Bird Bath dedication. o Batterson requested the broken fence pickets be replaced. o Pyper reported that the Parks and Recreation Commission voted no to having the flag pole temporarily placed back in Mitchell Park. o Batterson requested the light in the Gift Shop be checked. o Vice Chair Johnson requested a 2005/2006 financial comparison. Staff will prepare for next meeting. o Batterson requested a proper banner for the Mother’s Day announcement if it is to be used to promote the event above Marsh or Higuera Street.  Conner made a motion if there are a minimum of three docents available upstairs and downstairs then no bulwarks are needed to rope off rooms. The motion was passed with 3 yes votes, 1 no vote and 1 abstain.  Batterson made a motion to rescind the previous motion. The motion was passed unanimously.  Pyper made a motion that the Jack House rooms may not be blocked by bulwarks or anything else and the bulwarks must be removed and stored where staff deem appropriate. The motion was passed unanimously.  Communications No communications were presented. Meeting adjourned at 7:03 p.m. to the July 12, 2006 Parks and Recreation Tour, 9.00 am at the Laguna Lake Golf Course. The August meeting will be held on at 5.30 pm, August 9th, 2006 at the Parks and Recreation Department.
