HomeMy WebLinkAbout09-13-06 JHC Minutes Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, September 13, 2006 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5.32 p.m. ROLL CALL: Vice Chair Gerry Johnson, Committee Members Bill Pyper, Wes Conner and Patrick Mayeda ABSENT: John Tischler GUESTS: Jackie Kane and Marilyn Darnell STAFF: Rich Ogden, Sheridan Bohlken, Megan Keenan and Larry Tolson PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of August 2006 meeting were approved with one correction: • John Tischler will relieve Patrick Mayeda at Art in the Garden, not Bill Pyper. The Financial Report for August 2006 was approved. ITEM #1: Victorian Games Day • Bohlken reported the number of people in attendance doubled from the previous year and the event was managed and staffed well. • Staff looking at ways to increase attendance for future events. • Docents suggested incorporating a collection of displays with the event. Some ideas included quilts, music boxes or toys. ♦ A motion was made to create a Victorian Day sub-committee to include staff, docents and Jack House Committee members. The motion was passed unanimously. • Bohlken will be chair person of Victorian Day committee. ITEM #2: Stowe House • Ogden reserved a tour bus for September 23, 2006. • Only eight people signed up for the trip. Nobody from the Historical Society expressed interest in going at this time. • 30% of the total cost of renting the tour bus will be lost if canceled. ♦ A motion was made to cancel the bus rental. The motion was passed unanimously. ITEM #3: Landscape Improvements • Conner is still looking for an English Holly to replace the original that was removed. It is a very difficult tree to locate. Looking for at least a 24” boxed English Holly. The new tree would be placed in the same spot as the original. • Conner asked Maintenance Staff to help locate a new English Holly. • A work day was scheduled for Sunday, October 1, 2006 if there are no garden reservations for that day. Docents will provide a guest list. • Staff will look into using the cards created by Ken Schwartz as the memorial invitations. Reports and Updates • Monthly Activities - Staff o Tolson reported there was a work order placed to fix the lose railing on the bottom of the stairs. o Tolson announced his retirement party on Wednesday, November 29th in the Jack House Gardens. If it rains, the party will be moved to the Corp Yard. o Ogden reported it was goal setting time again. Goal Setting will be placed on the agenda for the October Jack House Committee meeting. • Docent Activities Jackie Kane and Marilyn Darnell reported on the following items: o Two pieces of art are missing from the inventory according to the official list. o A letter was composed inviting business and social groups to visit the Jack House and Gardens. o Information from the San Luis Obispo City Hostess packets were presented. The cost to include a brochure from the Jack House would be $1.00 each. On average 80 packets are sent out a month. Suggestions were made that the City of San Luis Obispo may already have brochures in the packets and the Jack House Brochures may be allowed to be included as well without an extra charge. More information will be needed on this item. • Member Comments o Batterson requested that the subject of Betty Stockton concerns will be placed on the Agenda. There will a correction made to a previous improper motion. Betty Stockton will be attending the October meeting. o Johnson announced an acknowledgement was made in the Botanical Gardens newsletter regarding Larry Tolson and his contribution to the Botanical Garden group. • Communications No communications were presented.
