HomeMy WebLinkAbout10-11-06 JHC Minutes Jack House Committee MINUTES Parks and Recreation Administrative Office Wednesday, October 11, 2006 5:30 PM CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5.30 p.m. ROLL CALL: Committee Members Wes Conner, John Tischler and Patrick Mayeda ABSENT: Bill Pyper and Gerry Johnson GUESTS: Betty Stockton, Wendy Stockton, Toni Kincaid, Marilyn Forcelles and Marilyn Darnell STAFF: Rich Ogden and Larry Tolson PUBLIC COMMENT PERIOD: There was no public comment. CONSIDERATION OF MINUTES AND FINANCIAL REPORT: The minutes of September 2006 meeting were approved with three spelling corrections. The Financial Report for September 2006 was approved. ITEM #1: December Calendar of Events at the House • Betty Stockton requested the use of 2 Docents instead of 3 to be available for each open house time in December. • Betty Stockton also requested the Jack House be closed on December 3rd for decorating. ♦ A motion was made to adopt Betty Stockton’s request to have the Jack House closed on December 3, 2006 for a day of decorating. The closure of the Jack House should be announced in advertisements. The motion was passed with a 3 to 1 vote. 3 votes in favor (Batterson, Tischler & Mayeda) and 1 opposed (Conner). • After the December open house dates, the Jack House will not be open again until March 2007. ITEM #2: Stanchions/Bollards • Betty Stockton asked to share information about the use of Stanchions in the Jack House. Stockton feels it is necessary, at times, to use stanchions if there are not enough Docents available for house tours. Stanchions are able to be stored in an easy to reach place such as the master bedroom closet. • Forcelles is opposed to the use of stanchions in the Jack House. • Kincaid will ask Docents to come to a consensus about the use of Stanchions. All Docents will be able to give feedback to the committee on the issue. • Batterson will revisit the issue with the committee before the 2007 wedding session begins. ITEM #3: Docent Letter of Invitation • A letter inviting community organizations to the Jack House for a tour was reviewed by the committee. • The letter should be placed on official San Luis Obispo City letterhead. ♦ A motion was made to accept the letter of invitation as modified to the targeted list of organizations. The motion was passed unanimously. The plaque is inset in ready cut wood. • The idea of the plaque was a way for the committee to honor Martha Schwartz. • Connor: Plaque is not necessary. • Tishler/Mayeda want to stay away from using Jack House Gardens as memorial space. ITEM #5: Art in the Garden Wrap-Up • Ogden shared informational summary hand out to Committee Members. • The next Art in the Garden will be held August 19, 2007 from 12-5 and asked that the Jack House be available for tours from 12-4. • There will not be more than 30 artists allowed to participate. • There should be a separate Jack House tour table available near the front. The table will need to have cash box and tickets available. • All Docents should wear visible ID’s indicating they are with the Jack House tours. • There is a need for a trash can near the front door of the Jack House. • An email reminder should be sent out to all committee members a few days before the event. ITEM #6: Victorian Day Games Committee Report • Committee has met twice and decided to keep the event for next year, but suggested changing the name to Family Fun Day at the Jack House. • The recommendations for 2007 are: o Keep all the lawn games o Eliminate the catered food o Keep the ice cream o Spend more money on advertising o Keep the event in June ~ suggested June 24, 2007 o Charge $2.00 per person rather than $7.00. The $2.00 fee would include a tour of the Jack House. The house would be open 1-4 pm that day. o “Unique Collections” will not be incorporated at this time o A band or some music should be incorporated. ITEM #7: Docent Appreciation Dinner • The Docent Appreciation Dinner will be held on November 8, 2006 at the Ludwick Center, 5:30 – 7:00 pm. • The Ken Schwartz water color cards will be used for the invitations. • The Jack House Committee will be held at 4.00 pm at the Ludwick Center before the event. • The invitation should be placed on official San Luis Obispo City letterhead. ♦ A motion was made to approve an allocation of $500 for the Docent Appreciation Costs. The motion was passed unanimously. ITEM #8: Goal Setting and Budget Process for 2007-09 (List of Jack House Goals) • Rich Ogden will submit a list of Jack House goals by November 1, 2006. • Goals are listed in order of priority: 1. Fence 2. Remove elevator shaft & restore bay window. 3. Foundation Jack House Committee Minutes for October 11, 2006 Page 3 of 3 G:\Everyone\Jackhouse\Jackhouse\Minutes\2006\10 11 06.DOC Reports and Updates • Monthly Activities - Staff o Tolson reported on the following items: o The stair banister post was fixed o A work order was submitted to fix the gift shop door & latch so it may close properly. o Holiday Poinsettias have been ordered from Cal Poly. They will be ready by December 7, 2006. o Sprinkler project will be moved to 2007 for completion. o Larry will be retiring from his position in December and the position of Maintenance Supervisor will be modified. There will still be a liaison available to committees and commissions. Interviews for the position will begin October 31, 2006. • Docent Activities o No Docent Activities were reported. • Member Comments o Connor requested more information on the missing art objects mentioned in the September Jack House minutes. o Tischler reported that the Carriage Barn doors need to be repaired. • Communications No communications were presented. Meeting adjourned at 7:26 p.m. to the Wednesday, November 08, 2006 meeting at the Ludwick Center, 4.00 pm.
