ROLL CALL: Committee Members: Ron Batterson, Patrick Mayeda, Kathi Settle, Bob Gordon and Betty Stockton ABSENT: Gerry Johnson and Susan Updegrove STAFF: Casey Fodness GUESTS: Toni Kincaid PUBLIC COMMENT PERIOD There were no public comments. CONSIDERATION OF MINUTES MOTION: (Batterson/Mayeda) Approve the November 9, 2011 minutes as noted. Approved: 5 yes: 0 no: 2 absent (Johnson and Updegrove) CONSIDERATION OF FINANCIAL REPORT MOTION: (Batterson/Settle) Approve the November and December 2011 Financial Report as submitted. Approved: 5 yes: 0 no: 2 absent (Johnson and Updegrove) REGULAR ITEMS 1. Raising the Entry Fee – Kincaid It has been 25 years since the entry fee has been increased. The entry fee for the house on special tours including the Haunted House and Victorian Christmas has been $5 and has been received without complaint for years. Children 12 and under can remain free. MOTION: (Batterson/Settle) Raise entry fee from $2 to $5, keeping children of ages 12 and under free, for all tours including events. Approved: 5 yes: 0 no: 2 absent (Johnson and Updegrove) 2. Sharon Kamm Donation - Kincaid The Sunday of Victorian Christmas Sharon Kamm approached Kincaid with donation of two candlesticks from her Anderson House home on Dana Street. Kincaid accepted the donation, sent a Jack House Committee Minutes January 11, 2012 Page 2 of 3 thank you note and will place them in the parlor with a tent card describing the donation and the donor. MOTION: (Gordon/Settle) Accept this donation from Sharon Kamm of candlesticks. Approved: 5 yes: 0 no: 2 absent (Johnson and Updegrove) 3. Gazebo Refurbishment Project - Mayeda A. Invoice: Thom Brajkovich provided an invoice for the updated set of construction drawings for the gazebo project. The invoice totaled $175. MOTION: (Mayeda/Gordon) Allocate $175 for gazebo drawings. Approved: 5 yes: 0 no: 2 absent (Johnson and Updegrove) B. Status of the Gazebo: A meeting was held with Shelly Stanwyck, Shannon Bates, Barbara Lynch, Tim Girvin (Chief Building Inspector) and Greg Zocher (Risk Manager) to determine how to move forward with the project. It was agreed that temporary bracing can be installed and rebuilding the structure can wait for the next CIP process. Brajkovich and Macie will design a bracing plan for the structure. 4. Docent President as a Committee Member - Batterson City Clerk, Elaina Cano, cited the grant deed that specifies the committee roles. If an additional committee member was being sought, the committee can choose to amend the by-laws and submit to council for approval. After discussion, questions arose regarding if an odd number of seats needs to be maintained on the committee and if the docent president seat would be required to be a San Luis Obispo resident. ITEM TABLED FOR FEBRUARY MEETING: (Batterson/Mayeda) Table issue upon receipt of by-laws and legality of city residency until the February meeting. Staff Reports and Updates: Parks and Recreation/Public Works Fodness reported on the following: Kincaid and the docents put on an excellent event for the Victorian Christmas Open House. Central Coast Bridal Mixer has been scheduled for Tuesday, July 10 from 5:30-7:30 pm in the Jack House Gardens to promote the house as an events facility. There is an opportunity to bring in vendors and maybe have the house open for tours that evening. Curtis Reinhardt has submitted a detailed plan of the SLO County Band event at the Jack House scheduled for June 24. He should be added to the February agenda for further discussion. The Jack House received a $100 donation from Ken Schwartz that should be specifically ear- marked for an improvement project on the interior blinds of the house. Jack House Committee Minutes January 11, 2012 Page 3 of 3 A false alarm notification has been received from Wednesday, December 28, 2011 but City staff did not enter the Jack House that day. Kincaid said she was not at the house that day either. SLO Happenings was a recent publication from the City of SLO. Jack House spring events were printed incorrectly, corrections have been made to the online copy of the publication and links have been adjusted with the Downtown Association to bring online traffic back to the Parks and Recreation website. 6. Docent Activities Kincaid reported on the following: Victorian Christmas brought in 309 visitors to the Jack House and $2,000 was made. Verna Gladstone was a longtime docent with the Jack House and was in a recent car accident, Kincaid has sent a card from the committee. Flavor of SLO is a United Way event at the Jack House on May 6 during the time the house would typically be open for regular tours from 1-4 pm. Kincaid would like to have the house open with docents scheduled like a special event Four new docents will be trained in February. 7. Member Comments/Communications Settle – The Tribune article was great. Lots of visitors came to the Victorian Christmas event because of it. We should work on having similar press in other local papers: New Times or SLO City News. Batterson – A thank you should be sent to the Tribune for the article. Kincaid – The buggy photos were not as successful as hoped. Only 5 photos were sold for a total of $25 in revenue. Another attempt for photos will be offered for Mother’s Day with greater promotion. Mayeda – Can there be a “Save the Gazebo” fund jar in the house? The donation jar that is already stationed in the kitchen at the end of the tour can be renamed for the gazebo fund. Meeting adjourned at 6:25 p.m. Next meeting is February 8, 2012 at 5:30 pm at the San Luis Obispo Parks and Recreation Administration Office.
