CALL TO ORDER: Chair Ron Batterson called the meeting to order at 5:30 PM.
ROLL CALL: Committee Members: Ron Batterson, Kathi Settle, Bob Gordon, and Toni
Kincaid
ABSENT: Susan Updegrove, Gerry Johnson, Marcia Nelson

CONSIDERATION OF MINUTES
MOTION: (Batterson/Settle) Approve the March 13, 2013 minutes as submitted.

CONSIDERATION OF FINANCIAL REPORT
MOTION: (Batterson/Kincaid) Approve the March 13, 2013 Financial Report as submitted.

REGULAR ITEMS
1. Elections – Ron Batterson
MOTION: (Gordon/Kincaid)
Batterson and Settle will continue in their roles as Chair and Vice Chair of the Jack House
Committee.

2. Bylaws Review – Shannon Bates
Committee discussed the following:

The work plan should be developed on an annual basis. Work plan should include
description of activity and how they relate to our goals and objectives.
Public works needs a presents at the Jack House Committee Meetings. The City of San Luis
Obispo should designate who contact persons are. Amend by-laws to read: City should
designate who from Public Works is the representative for the House and the Garden.
Amendment should also include notification if there are any changes to contacts
Term limits are unclear. Amend by-laws to clarify categories 1, 2, and 3 have an
undetermined length. Categories 4, 5, 6, and 7 are 2 year terms.
Placed bylaw amendments on next month’s agenda.
3. Victorian Tea Budget – Toni Kincaid
Member Kincaid:
Proposed a $1500 budget for the Victorian Tea
Del Monte Café will cater Victorian Tea and charge $9 per person. Del Monte Café will
provide all glassware, silverware, and china free of charge.
Price will be raised from $25 to $30.
Docents are expecting profit from Victorian Tea to be $600.
$30 dollars for advertising will be to purchase 4’x2’ banner to hang from Jack House
porch.
$200 for table center pieces (8 tables)
$150 will come out of promotional fund (flyer and quarter page flyer)
Staff Member Bates:
Parks and Recreation staff will provide graphic design support for the event
Parks and Recreation can provide linens free of charge. Colors are limited.
MOTION: (Batterson/Kincaid)
Approve the budget for the Victorian Tea as follows: $150 from promotional account and $1300
from Jack House fund.

4. Staff Reports and Updates: Parks and Recreation/Public Works
Staff Member Bates reported on the following:
Mother’s Day Concert is scheduled for Sunday, May 12th from 1 p.m. to 4 p.m.
Marketing materials are ready to be distributed.
The CIP for the Jack House gazebo replacement has been recommended in the out years
(years 3 or 4).

Supervisor recruitment is happening right now. An interview panel has been scheduled
for May 8th.
Parks and Recreation received post card that was sent by Mr. Jack in 1910. Member
Kincaid is in the possession of the postcard and will be finalizing its display and
placement in the house.
Recognition plaques will be presented to out-going committee members (Mayeda and
Stockton) at the Mother’s Day event.
5. Docent Activities
Member Kincaid reported on the following:
Two school tours scheduled for May 10 and 16.
Jill Fletcher from the History Center is going to do a Cemetery Tour and asked to have
docents to present at the graves of the Jacks
New wreaths in windows
Porch is painted
6. Member Comments/Communications
Member Gordon:
Friends of the Jack House will meet next week and plan a launch.
