CALL TO ORDER: Chair Batterson called the meeting to order at 5:35 PM.
ROLL CALL: Committee Members: Ron Batterson, Kathi Settle, Patrick Mayeda, Gerry
Johnson, Bob Gordon, Betty Stockton and Susan Updegrove
ABSENT: Patrick Mayeda, Betty Stockton and Gerry Johnson
STAFF: Meghan Burger

CONSIDERATION OF MINUTES
MOTION: (Batterson/Updegrove) Approve the September 10, 2012 minutes as submitted.
Approved: 4 yes: 0 no: 3 absent (Mayeda, Stockton and Johnson)
CONSIDERATION OF FINANCIAL REPORT
MOTION: (Batterson/Johnson) Approve the amended August 31, 2012 Financial Report as
submitted.

MOTION: (Batterson/Settle) Approve the September 31, 2012 Financial Report as submitted.
Approved: 4 yes: 0 no: 3 absent (Mayeda, Stockton and Johnson)
REGULAR ITEMS
1. Advisory Body Goal Setting - Batterson
Annual advisory body goals are due to the City Finance Department on November 8, 2012. Kathy
Smith recommended the Committee set goals for the City that pertains to the Jack House.
Committee discussed the following goals:
1) Gazebo Restoration – continuation from last year’s goals
2) Annual outdoor maintenance of the house/fence before wedding season

3) Outdoor house painting on an 8-year cycle
4) Maintain at a higher level the facilities associated with City use (specifically the Jack
House bride’s room and exterior)
5) City’s reassessment of all fees associated with City facilities to keep rates current
MOTION: (Batterson/Settle) Move that the above items are reported to the City as goals.

2. Thanksgiving Holiday Closure - Batterson
Reminder that the house will be closed on November 25, 2012.
3. Staff Reports and Updates: Parks and Recreation/Public Works
Burger reported on the following:
*Interviews being held for new Recreation Specialists. Decision and job offers soon to follow.
*Ashley Villarreal is working with outside design companies on getting some new logo designs.
*Parks and Recreation is working with Public Works on submitting the Gazebo Restoration
project for a CIP for the 2013-15 fiscal cycle.
* Marilyn Darnell has approached with a request to purchase the ISBN number for The House
that Jack Built series.
Discussion: The Committee owns the ISBN numbers, not Parks and Recreation. Marilyn should
be invited to the next meeting to propose the purchase of the numbers.
*Haunted Halloween ads are being placed. Burger asked for recommendations of where to
purchase ad space.
Discussion: Recommendations to New Times and SLO City News
*Docent Dinner will be on November 14. Docents have requested Bob Gordon to present. Rich
Ogden will cater the event. $400 to spend on event from Jack House Committee account.
4. Docent Activities
Kincaid reported on the following:
* A purse has been brought in as a donation. Kinkaid will bring to the next meeting for Committee’s
approval.
*Haunted Halloween – volunteers have contacted Maureen Titus to help with the decorations.
*Betty Stockton will be unable to attend meetings for an unknown amount of time due to health
issues.
Discussion: Honor Betty with a “Lifetime Achievement” award at the Docent Appreciation for her
many years of service to the Jack House.
* Victorian Christmas – need help at the door collecting money and counting attendees. Parks and
Rec staff are needed on Dec. 7, 8 and 9. Decorating will take place on November 26.
* Docent Dinner – mail invites to the
*Old tapes with some house history have been found – Kinkaid will work on listening to these tapes
and adjusting the tour script as necessary for next year.
*Researched rates for Pavilion, Lighthouse and Dallidet to compare to wedding rates.
4. Member Comments/Communications
Betty Stockton (via Toni Kinkaid): She has thoroughly appreciated working with the Committee

Gordon – 1) Had a “visible” friend in the community approach him last week. She and her husband
rode their bikes to tour the house but because they didn’t have any money were turned away. She
offered to mail money at a later time, but the docents at the door didn’t compromise with her. She
was very disappointed. 2) San Luis Symphony have a fundraising program “Parties with a
Purpose.” They would like to use the carriage house as a place to host a demonstration by Bob
Gordon that would be used as a fundraiser for the Symphony. A representative will attend the next
meeting to discuss the idea further and the potential collaboration.
Settle – 1) Has been having fun acting as a docent again. 2) For next wedding season, need to work
with wedding planners to make sure wedding guests know to come in and utilize the special tours.
3) Has been attending “Friends of the Jack House” meetings. Progress is being made.
Meeting adjourned at 6:50 p.m. Next meeting is November 14, 2012 at 4:00 pm at the Ludwick
Community Center.
