CALL TO ORDER: Chair Batterson called the meeting to order at 4:30 PM.
ROLL CALL: Committee Members: Ron Batterson, Kathi Settle, Patrick Mayeda, Gerry
Johnson, Bob Gordon, Betty Stockton and Susan Updegrove

CONSIDERATION OF MINUTES
MOTION: (Batterson/Settle) Approve the October 10, 2012 minutes as submitted.

CONSIDERATION OF FINANCIAL REPORT
MOTION: (Batterson/Settle) Approve the October 10, 2012 Financial Report as submitted.

REGULAR ITEMS
1. SBM# Item – Marilyn Darnell
Marilyn Darnell, author of The House that Jack Built, requested to purchase the list of ISBN
numbers from the Jack House Committee, for another book on the Jack Family history that she
starting. Four years ago, at the publishing time of the first book, the Committee bought a list of
10 numbers; Marilyn would like to purchase all ten. The Committee members weren’t sure
where the list of ISBN numbers is currently.
MOTION: (Batterson/) Move that the Committee approve Marilyn to have access to all of the
numbers, provided that they are found.
Motion Withdrawn
MOTION: (Gordon/Updegrove) Move that Parks and Recreation Staff locate the ISBN number list
and report back at January’s meeting.

2. Flowers for Christmas – Toni Kincaid
Toni reported on the purchase of poinsettias for the Victorian Christmas decorations. Money to
purchase the flowers was previously approved by the Committee.
3. Purse Donation – Toni Kincaid
A purse, to potentially be donated by Shirley Hancock, was taken to Sharon Gough who
appraised the purse. She appraised the purse as from the 1800’s and made in France. She will
make minor repairs to the purse. Toni would like to display the purse in a shadow box that will
hang in the house.
MOTION: (Updegrove/Johnson) Move that the Committee accept the purse as a donation.

4. Parties with a Purpose – Bob Gordon
Leslie MiKinley reported on the SLO Symphony’s fundraising program which takes place at the
annual Ball in February. The Symphony raffles off packages of parties and the donor of the party
determines the parameters of the party to be held (i.e. number of guests, etc.). She requested that
the Committee allow the use of the Jack House Gardens for a party, at no cost, in return for
publicity of the facility.
Discussion:
Burger:
o It is not the Committee’s purview to grant free use of the facility – this must be
done through the Parks and Recreation Director.
o Parks and Recreation staff are concerned that collaboration with outside non-
profit agencies be equitable to all non-profit agencies; once it is allowed for one
group, it will need to be considered for all groups.
o It is imperative to outline the use of collaboration with outside agencies and
consider hidden costs (i.e. Parks and Recreation staff time, wear and tear on the
facility, loss of revenue to a paying renter)
Gordon:
o As the Friends of the Jack House is almost ready to launch (bylaws are being
finished and are working with Barry Vanderkellen to use his 501c), it is important
to clarify above concerns so that the Friends group can hold fundraising activities
at the Jack House gardens for no charge starting this Spring.
o The Carriage House needs to be used for gatherings and rentals.
Settle:
o Would like to see the house used in a productive manner.
Committee discussed that the use of the Jack House Gardens for the SLO Symphony
Parties with a Purpose would most likely not be doable this year and that they would like
to seek clarification from the Parks and Recreation Director regarding the use of the
facility for other collaborative events.

MOTION: (Batterson/Settle) Move that Meghan Burger and Susan Updegrove meet with Shelly
Stanwyck to discuss the following:
Use of the facility for the SLO Symphony fundraiser
Use of the facility for Friends of the Jack House events
Use of the Carriage House for rentals
Increasing the facility rental fees

5. Staff Reports and Updates: Parks and Recreation/Public Works
Burger reported on the following:
An old computer belonging to the Jack House committee was found at Parks and
Recreation and in the computer bag was found an extensive inventory list. The
inventory list will be turned over to Toni Kinkaid, the computer will continue to be
stored at the Parks and Recreation office.
The Advisory Body Goals had been submitted and returned for any final revisions.
The Committee discussed changing the order of priority of the goals for the final
submittal.
There will be more staff changes at Parks and Recreation. Burger is moving to the
Youth Services Division (and reported on her appreciation to work with the
Committee for the past 10 months). Shannon Bates will be stepping in as liaison to
the Jack House Committee and Dave Setterlund will be managing day-to-day needs
of the Jack House.
6. Docent Activities
Kinkaid reported on the following:
Haunted Halloween was great this year with high attendance (396 visitors in total)
and a dedicated group of volunteer decorators/ghosts.
Steve Macy has had heart problems and is currently undergoing rehabilitation.
7. Member Comments/Communications
Batterson: Purchased Christmas light supplies and is submitting a receipt for
reimbursement; he will be hanging lights the Monday after Thanksgiving.
Settle: The Halloween decorations looked great.
Meeting adjourned at 5:30 p.m. Next meeting is January 9, 2013 at 5:30 pm at the Parks and
Recreation Office.
